Virtual Assistant – ClickUp Project Management Specialist
We’re looking for a highly organized, tech-savvy Virtual Assistant with expert-level knowledge of
Role Overview
As our ClickUp Project Management VA, you will:
-Build and maintain project boards and task hierarchies
-Set up SOP-based workflows and recurring task systems
-Assign tasks, manage due dates, and track progress
-Maintain dashboards, automations, and status reports
-Ensure our team stays aligned, accountable, and on schedule
-Continuously optimize ClickUp for clarity, automation, and efficiency
Daily Responsibilities
Receive communication from the owners with task instructions
Convert instructions into organized ClickUp tasks with clear due dates and assignees
Assign tasks to the appropriate tea
Follow up on open tasks to ensure completion
Communicate status updates and completion reports back to ownership
What We're Looking For
Strong experience with ClickUp — especially in building automations, recurring tasks, dashboards, and team workflows
Ability to translate voice notes, chats, or messages into actionable tasks
Proactive communicator who follows up consistently and keeps leadership informed
Meticulous attention to detail and an ability to manage multiple task threads simultaneously
Familiarity with remote team operations and online project management best practices
Bonus Points For
Experience with tools like Slack, GSuite, Zapier, Loom, or Notion
Background in digital marketing, agency operations, or task delegation
Comfortable setting up performance dashboards and reporting systems
