JOB OVERVIEW

Position Overview

Reid Rodell is seeking a highly organized, detail-oriented, and customer-focused Virtual Assistant to provide administrative, research, and client support services. This role will serve as a key point of contact for travelers participating in organized tours, prospective travel clients, and various business operations. The ideal candidate is an excellent communicator, comfortable working independently, and capable of managing multiple projects simultaneously.

Key Responsibilities

Tour Support & Client Communications

* Monitor and respond to emails related to Reggie’s Asia trip and other group travel programs.
* Answer traveler questions regarding itineraries, accommodations, transportation, documentation requirements, and trip logistics.
* Assist travelers with pre-trip preparation and provide timely updates as needed.
* Maintain organized records of traveler inquiries and communications.

Prospective Client Support

* Respond to inquiries from prospective clients interested in travel planning and tour services.
* Provide accurate information regarding available travel packages, services, pricing, and trip options.
* Schedule consultations and follow-up communications when appropriate.
* Assist with lead management and client relationship building.

Research & Administrative Support

* Conduct internet research on destinations, hotels, airlines, attractions, travel regulations, visa requirements, and related topics.
* Compile findings into concise summaries and reports.
* Assist with data entry, document preparation, and spreadsheet management.
* Support marketing, operational, and business development initiatives as assigned.

General Administrative Duties

* Manage email correspondence and prioritize incoming requests.
* Assist with calendar scheduling and appointment coordination.
* Maintain organized digital files and records.
* Perform other duties and special projects as assigned.

Qualifications

* Excellent written and verbal communication skills.
* Strong customer service orientation and professional demeanor.
* Exceptional organizational and time-management abilities.
* Ability to work independently and exercise sound judgment.
* Proficiency with email, Google Workspace, Microsoft Office, and online research tools.
* Experience in travel, hospitality, customer service, or administrative support is preferred.
* Familiarity with CRM systems and project management tools is a plus.
