JOB OVERVIEW

We're looking for a reliable Virtual Assistant to support the day-to-day operations of a growing service-based business.

This role is best suited for someone who has previous experience working with HVAC companies or similar trades-based industries such as plumbing, roofing, construction, facilities management, property management, or real estate.

You'll play an important role in keeping operations running smoothly by handling administrative tasks, coordinating documentation, assisting with scheduling, and supporting various business processes.

Responsibilities:
- Provide administrative support to management and tea ---------- mbers
- Prepare invoices, estimates, quotations, proposals, and other business documents
- Maintain accurate records, files, and company documentation
- Assist with scheduling appointments, coordinating activities, and managing administrative workflows
- Support permit applications, rebate submissions, and related documentation
- Create and schedule basic social media content when needed
- Monitor and organize emails, records, and operational information
- Assist with additional administrative and operational tasks as assigned

Qualifications:
- Previous experience working in the HVAC industry or a similar service-based trade is a MUST
- Prior experience as a Virtual Assistant, Administrative Assistant, Operations Assistant, or a similar support role
- Strong written and verbal English communication skills
- Excellent organizational and time management abilities
- High attention to detail and ability to manage multiple tasks simultaneously
- Comfortable working independently with minimal supervision
- Experience handling permits, rebates, compliance documentation, or industry-related paperwork is an advantage
- Familiarity with CRM systems, business software, and AI tools is a plus

Work Schedule:
