Virtual Assistant / Operations Coordinator (Marketing Agency)

About Us
We are a marketing agency focused on scaling clothing and streetwear brands through performance-driven ad campaigns. As we expand, we need a reliable Virtual Assistant / Operations Coordinator who can keep the team organized, manage communication between clients and media buyers, and ensure smooth operations across the agency.

Responsibilities
You will act as the bridge between clients, media buyers, and leadership. Duties include:
• Team Coordination:
• Assign tasks to media buyers (ad setup, pixel installs, reporting, optimizations).
• Track deadlines and ensure deliverables are completed on time.
• Keep media buyers updated on which client accounts to prioritize.
• Client Management:
• Maintain a roster of active clients, their brand details, and campaign status.
• Provide media buyers with client-specific notes (budget, goals, creative direction).
• Ensure onboarding steps (pixel setup, ad accounts, Shopify access, etc.) are completed for each client.
• Communication Hub:
• Organize and update internal chat channels (Slack, WhatsApp, etc.) with client updates.
• Act as the first point of contact for clients regarding scheduling and general updates.
• Relay key information to the media buyers clearly and quickly.
• Project & File Management:
• Manage shared folders (Google Drive, Notion, ClickUp, or Asana).
• Keep client content, reports, and deliverables organized and accessible.
• Maintain updated dashboards on client performance and campaign progress.

• Track ad spend, budgets, and campaign milestones across accounts.

Qualifications
• Previous experience as a Virtual Assistant, Operations Manager, or Account Coordinator (agency experience is a plus).
• Strong organizational skills and ability to manage multiple projects simultaneously.
• Familiarity with digital marketing terms and tools (Meta Ads Manager, Shopify, Google Drive, Slack, Asana/ClickUp).
• Excellent written and verbal communication skills.
• Tech-savvy and quick to learn new tools.
• Problem-solver who can anticipate needs and keep the team aligned.
