Position Overview
We are seeking a detail-oriented and tech-savvy Virtual Assistant to support our digital marketing and business operations. The ideal candidate will be proficient in various online tools and platforms, with strong organizational skills and the ability to work independently in a remote environment.

Key Responsibilities

Customer Service & Communication
Handle customer inquiries, support tickets, and general customer service via email and chat using HelpScout
Provide timely and professional responses to customer questions and concerns
Manage customer support workflows, ticket routing, and follow-up processes in HelpScout
Maintain customer relationship records and follow up on outstanding issues
Escalate complex issues to appropriate tea ---------- mbers when necessary
Participate in team communication and collaboration via Slack for real-time updates and coordination

Speaker & Sponsor Outreach
Research and identify potential speakers for events and content
Reach out to speakers with event details, logistics, and coordination
Manage speaker communications, contracts, and scheduling
Coordinate with sponsors regarding partnerships, deliverables, and event participation
Maintain databases of speaker and sponsor contacts and interactions

Event & Meeting Management
Schedule and coordinate meetings using Zoom for internal team calls and client meetings
Set up and manage live streaming events and webinars using StreamYard
Handle technical setup, recording, and post-event follow-up for virtual events
Coordinate event logistics and participant communications

Project Management & Organization
Use Asana to track projects, assign tasks, and monitor deadlines
Update project statuses and communicate progress to tea ---------- mbers
Create and maintain project workflows and standard operating procedures
Coordinate cross-team collaboration and ensure nothing falls through the cracks

Membership & Product Management
Coordinate monthly membership deliverables including content creation, packaging, and distribution
Ensure timely delivery of membership materials and communicate with members about updates
Track membership fulfillment schedules and maintain delivery calendars
Assist with member onboarding processes and welcome sequences
Handle membership-related customer inquiries and technical support

Marketing & Promotion
Build and optimize landing pages using LeadPages for product launches and course enrollment
Manage Shopify store operations including product listings, inventory updates, and order processing
Set up and manage e-commerce funnels and checkout processes using ThriveCart
Set up and manage marketing funnels and time-sensitive campaigns using Deadline Funnel
Configure and monitor viral marketing campaigns and contests using Viral Sweep
Manage and update WordPress websites with new products, courses, and promotional content
Coordinate cross-platform marketing efforts across email, social media, and website

Administrative & Data Management
Organize and maintain files across Google Drive and Dropbox systems
Ensure proper file naming conventions and folder structures
Collaborate on documents and presentations using Google Workspace tools
Manage digital asset libraries and contact databases

Required Skills & Experience

Technical Proficiency
Customer Service: Experience with professional email communication, conflict resolution, and customer support best practices
Slack: Experience with team communication, channel management, and real-time collaboration
Zoom: Proficient in scheduling, hosting, and managing virtual meetings and webinars
WordPress: Experience with content management, basic customization, and plugin management
Canva: Proficient in creating graphics, social media posts, and marketing materials
Google Drive: Advanced knowledge of file organization, sharing, and collaboration features
Dropbox: Experience with file management and team collaboration

Minimum 1 year of virtual assistant or customer service experience

HelpScout: Proficient in managing customer support tickets, workflows, and knowledge base management
Asana: Strong project management skills using Asana for task tracking, team collaboration, and workflow management
LeadPages: Experience building landing pages and lead capture forms
ThriveCart: Experience with e-commerce platform management, order processing, and sales funnel setup
Shopify: Proficient in e-commerce store management, product listings, order fulfillment, and basic theme customization
StreamYard: Experience setting up live streaming events, managing participants, and handling technical aspects
Deadline Funnel: Familiarity with creating urgency-driven marketing campaigns
Viral Sweep: Knowledge of contest and giveaway campaign setup
AI Tools: Experience with AI Large Language Models such as ChatGPT and Claude for content creation, task automation, and productivity enhancement
Marketing campaign development and execution experience
Membership or subscription service coordination experience
Experience in event planning, speaker coordination, or sponsor management
Background in membership sites, subscription services, or recurring deliverable coordination
Digital marketing experience with product launches, course marketing, or event promotion
Familiarity with email marketing platforms and CRM systems
Basic HTML/CSS knowledge
Experience with social media management and content marketing
Understanding of SEO best practices
Background in outreach, sales, or relationship management
Experience with online course platforms or learning management systems

Work Arrangement
Position Type: Remote/Virtual
Hours: Part-time position, 5-10 hours per week, with additional hours during event seasons
Schedule Preference: We prefer availability during 9:00 AM - 2:00 PM Eastern Daylight Time (EDT)
This corresponds to 9:00 PM - 2:00 AM Philippines Standard Time (same day)
Flexibility: We understand time zone challenges and are open to discussing alternative schedules that provide reasonable overlap with US Eastern business operations

Core Work: Many tasks can be completed during your regular Philippines daytime hours with flexible deadlines
Communication: Regular communication via Zoom, Slack, email, and project management tools during agreed-upon overlap hours
