Supporting a Full-Build Construction Company in Christchurch, New Zealand
Find A Joyce is looking for a highly organised and proactive Virtual Construction Admin to support a full-build construction company based in Christchurch, New Zealand.
This is not a regular VA role. You'll play a key part in keeping projects organised behind the scenes, ensuring jobs are set up correctly, paperwork is under control, and nothing falls through the cracks before work starts onsite.
This is a part-time position to start (20 hours per week), with the potential to grow as the working relationship develops.
What You Will Be Doing
• Managing client communication at pre-start stage —
• Setting up and organising jobs in Buildxact before work begins
• Handling and organising incoming documents — consents, invoices, variation orders, delivery dockets, contracts, and more
• Proactively chasing outstanding documents, approvals, engineer reports, and supplier confirmations
• Back-costing through Buildxact — processing invoices, purchase orders, and tracking job costs
What We Are Looking For
• Background in construction administration or project coordination — experience in any market is welcome
• Buildxact experience is a strong advantage — if you do not have it, you must be quick to learn
• Available to work 20 hours per week during New Zealand business hours (NZT/NZST) — this role requires regular communication with clients, suppliers, councils, subcontractors, and the director throughout the day

• Someone who is genuinely proactive — you do not wait to be told, you get ahead of it

• Self-managing and comfortable working fully remotely with minimal supervision

• Adaptable — you are not the type who needs everything perfectly set up before you can start
• A natural communicator who keeps people updated without being asked
• Willing to learn NZ construction terminology and processes — this is a must
• Open to adapting from traditional Filipino corporate practices to a New Zealand work environment — this includes being comfortable with direct communication, a low-hierarchy workplace, less office politics, and a stronger focus on ownership, collaboration, and results

You will not be thrown in the deep end.
