Job Description
Position Overview
We are seeking a versatile and proactive Virtual Assistant to support an Australian-based business. The initial focus of this role will be on administrative support and customer communication, with potential expansion into quoting and basic design/print production support depending on business needs.
This is a flexible role suited to someone who is organised, reliable, and willing to learn internal systems and processes.
Key Responsibilities
Customer Service & Admin Support
Act as the first point of contact for overflow phone calls and
Provide professional and timely responses to customer queries
Assist in managing daily administrative tasks including data entry and document handling
Support general office coordination to ensure smooth day-to-day operations
Quoting Support (Training Provided)
Assist with preparing customer quotes using internal systems (Printers Choice)
Follow internal processes and templates after training
Ensure accuracy and consistency in quote preparation and data entry
Graphic Design / Pre-Press Support (Secondary Requirement)
Support basic graphic design and pre-press tasks as required
Assist in preparing files for print production
Make simple edits or adjustments using Adobe tools when needed
Ensure work aligns with brand and print specifications
Skills & Experience
Experience in administration, customer service, or virtual assistance
Strong communication skills (written and verbal)
High attention to detail and ability to follow processes
Willingness to learn new systems (training provided for quoting software)
Basic knowledge of Adobe Illustrator, Photoshop, and/or InDesign is an advantage
Ability to multitask and work independently
