Salary: PHP 45,000 - PHP 55,000 depending on experience + Bonuses

1. Management System & Document Control
- The Systems Administrator coordinates the day-to-day management of the company’s Document Register, ensuring that controlled documentation is regularly updated and maintained to the business's quality standards. In coordination with the Business Improvement Manager and departmental Subject Matter Experts (SMEs), this covers tracking review timelines, managing version control, aligning corporate branding across manuals and flowcharts, and the routine archiving needed to minimise process drift and keep client’s operational framework current.
2. Training & Platform Documentation Governance
- The Systems Administrator coordinates the alignment of controlled operational documentation with internal learning platforms, ensuring that training resources accurately reflect established business processes. In coordination with the Business Improvement Manager and training representatives, this covers cross-referencing standard operating workflows with published training materials (such as Trainual) and maintaining active, embedded document links across systems. The role handles routine document proofreading and verification checks, helping to streamline the verification pipeline before formal publication approvals are sought.
3. Audit and Compliance Support
- This role assists with the administrative requirements of the internal audit schedule and compliance tracking, ensuring that reviews remain organised and well-supported. In coordination with the Business Improvement Manager, this covers compiling audit completion reports, and managing logistics for reviews. The role handles the timely logging of incoming Non-Conformance Reports (NCRs) and coordinates regular follow-ups with departmental action owners to track outstanding items, escalating stalled actions to the BI Manager when needed to keep workflows moving forward.
4. Feedback Tracking
- This role administers the internal suggestion and feedback loop process, ensuring that employee-driven ideas and system observations are systematically processed and reviewed. In coordination with the Business Improvement Manager, this covers triaging incoming feedback, logging items into the appropriate registers, and routing them to the correct departmental stakeholders for evaluation. The role handles regular follow-ups to track outcomes, helping to maintain a transparent and active continuous improvement pipeline across the business.
5. KPI Data Collection & Reporting Assistance
- This role maintains the administrative collection and compilation of compliance and performance data across various departments to meet BI reporting milestones. In coordination with the Business Improvement Manager, this covers gathering, collating, and validating operational data inputs to ensure they are clean, complete, and readily accessible. The role provides routine assistance in formatting monthly and quarterly KPI summaries, helping to prepare clear data packages for leadership review routines.
QUALIFICATIONS:
Technical Skills and Experience
- Exceptional organisational capability with attention to detail and precision.
- Demonstrated experience in document control, data entry and managing a filing system, or a structured administrative compliance role.
- High level of proficiency within Google Workspace or equivalent cloud-based productivity suites.
- Demonstrated communication skills, specifically with the proven ability to articulate problems and confidently follow up on outstanding actions.
- Strong written skills, including attention to detail, with experience executing document proofreading and verification checks, ensuring materials align with corporate standards.
- Familiarity with management system principles, compliance frameworks (such as ISO 9001), or continuous improvement cycles (PDCA).
- Familiarity with graphic design principles or document layout formatting, helping to ensure corporate documents, flowcharts, and forms are visually clear and aligned with brand guidelines.
- Previous experience in construction, engineering, or a technically regulated industry environment is advantageous, along with exposure to platforms like Procore, Trainual, or Smartsheet.
