JOB OVERVIEW

Must be willing to learn and work with AI tools—or already experienced using them.
This role supports a fast-paced founder managing multiple automotive businesses: a $6M+ collision centre, a seasonal business, and a growing admin services company. You’ll handle key tasks that keep the business flowing—and help build new services powered by AI.

You will start with:

Triage and organize my inbox daily

Input estimates into Mitchell/Audatex

Monitor platforms for unresponded estimate requests

Weekly sweep of 60–80 active vehicle files in Body Shop Connect to check for delays, follow-ups, or gaps in communication

Assist with QuickBooks Online reconciliation across multiple companies

Key monthly data into a spreadsheet for performance groups

Review aged accounts payables and flag issues

Support SOP creation and document systems

Provide a quick weekly or biweekly report on what’s been checked, flagged, or completed

You MUST:

Have strong attention to detail

Be discreet and professional (NDA required)

Be willing to work with AI tools like ChatGPT, Google AI, or Zapier

Be able to learn systems like Body Shop Connect, Mitchell, and QuickBooks

Be curious and independent—you’ll have support, but I want a problem solver

Bonus if you know:

QuickBooks Online

Notion, Google Drive, Todoist, Slack

Estimating platforms (Mitchell, Audatex, CCC)

SOP creation or admin systems

Pay + Hours:

Starting: $6–8 USD/hour (based on experience)

5–10 hours/week to start

Potential to grow to 20+ hours and salaried projects

Hours flexible, preference for post-5PM Atlantic access

Growth Opportunity: You may become the lead support for a new VA-powered admin company serving collision and automotive businesses. You’ll also work across multiple companies in real estate and seasonal business. As trust grows, so will your responsibilities and pay.

Additional Requirements:

Must be comfortable using Zoom, Google Meet, or video chat for onboarding and training

Must have reliable internet and a working mic
