Key Responsibilities:
1. Day-to-Day Operations Management. Oversee and manage the daily operational activities of ExcelMindCyber to ensure smooth and uninterrupted program delivery. Identify operational bottlenecks, resolve escalations promptly, and maintain a high-functioning work environment. Monitor operational KPIs and produce regular performance reports for senior leadership.
2. Cross-Functional Collaboration. Work closely with department leads across Marketing, Sales, Fulfillment, Technical, and Student Support to align efforts toward shared goals. Facilitate inter-departmental meetings, ensuring clear communication, accountability, and follow-through on action items. Serve as the central point of coordination for all operational initiatives across ExcelMindCyber.
3. Program & Curriculum Operations. Coordinate the operational delivery of cybersecurity training programs to ensure they meet global quality standards. Oversee scheduling, resource allocation, and instructor coordination to guarantee seamless program execution. Continuously evaluate program delivery processes and implement improvements to elevate student outcomes.
4. Marketing, Sales & Fulfillment Operations. Support Marketing and Sales teams with operational frameworks that drive lead generation, onboarding, and conversion efficiency. Ensure the Fulfillment team has the operational systems and resources required to deliver on enrolment commitments on time. Track and optimize the full student lifecycle from inquiry to course completion.
5. Technical Operations. Collaborate with the Innovation/ Website and Communication team to maintain the reliability and performance of all learning platforms and digital infrastructure. Oversee the operational rollout of new technical tools, learning management systems, and cybersecurity training environments. Ensure technical operations align with international standards for cybersecurity education delivery.
6. Process Automation & Operational Structure. Identify and implement automation solutions to eliminate manual, repetitive processes across departments. Design and enforce a clear, scalable operational structure for the cybersecurity program, covering intake, delivery, assessment, and certification. Build and maintain operational playbooks that ensure consistency and quality as the organization grows.
7. Documentation & Workflow Management. Develop, maintain, and regularly update all standard operating procedures (SOPs), process maps, and workflow documentation. Ensure all teams have access to up-to-date documentation and are trained to follow established procedures. Build a centralized knowledge base that supports onboarding, audits, and continuous improvement efforts.
8. Employee Performance & Team Development. Partner with HR and team leads to monitor, track, and support staff performance across operations. Facilitate performance review cycles, identify training needs, and support the professional development of operational staff. Foster a culture of accountability, ownership, and continuous improvement within the team.
9. Student Experience. Champion a wholesome and positive experience for every student enrolled in an ExcelMindCyber program. Establish feedback loops (surveys, check-ins, support tickets) to consistently monitor and improve the student journey. Work with program and support teams to resolve student concerns quickly and maintain high satisfaction ratings.
10. World-Class Standards & Strategic Growth. Drive initiatives that position ExcelMindCyber as a globally recognized, world-class cybersecurity training institution. Benchmark operational practices against leading international training organizations and implement best practices. Contribute to strategic planning by providing data-driven operational insights and recommendations to senior leadership.
