Sales Operations Assistant (Remote)
About Fitribe
Fitribe is an online health and fitness coaching company helping women over 40 lose weight and keep it off without extreme dieting.
We are growing and are looking for a highly organised and detail-focused Sales Operations Assistant to help keep our revenue systems clean, accurate, and controlled.
This is not a basic admin role.
This role is suited to someone who thrives on organisation, enjoys working with numbers and trackers, possesses a creative eye for basic design/social media management, and takes pride in making sure nothing falls through the cracks.
Position Details
* Role: Sales Operations Assistant
* Hours: 20 hours per week (Note: May transition to 40 hours per week)
* Location: Remote Contractor Role
* Reports To: Sales & Client Recovery Consultant
Main Outcome
Your primary responsibility is to keep our sales, recovery, referral, re-sign, commission, PayRight conversion, and CRM tracking systems accurate and up to date, while supporting the team with essential social media and asset creation needs.
Your job is to ensure the right information and assets are visible, correct, and actioned on time so the business can operate efficiently and make informed decisions.
Key Responsibilities
* Sales and setter scorecard management
* Sales tracker updates and maintenance
* Tracking booked calls, show rates, no-shows, closes, cash collected, and payment types
* Commission tracking preparation
* Referral and re-sign tracker management
* PayRight conversion tracker updates
* CRM note audits and checks
* Following up on missing information and incomplete data
* Identifying and reporting revenue-risk client issues
* Creating and updating basic visual assets using Canva
* Assisting with daily social media management, scheduling, or basic engagement coordination

Your role is to keep the systems clean, the data accurate, and the social platforms supported so the right people can make the right decisions.
You're a Strong Fit If You...
* Are extremely organised and notice details others often miss
* Love clean spreadsheets, accurate reporting, and are confident using Google Sheets
* Possess a strong working knowledge of Canva and understand social media best practices
* Are comfortable following up on missing information
* Can follow processes without constant reminders and communicate clearly/professionally
* Take ownership when things are messy
* Understand that missed notes, incorrect data, and missed follow-ups can directly impact revenue
* Work well independently and do not require micromanagement
You're Probably Not a Fit If You...
* Need constant reminders to complete tasks
* Avoid numbers, reporting, or digital platforms
* Frequently miss small details or wait for others to chase you
* Dislike spreadsheets, trackers, data entry, or routine administrative upkeep
* Have no experience or interest in creative tools like Canva or social media management
* Are looking for a simple admin role
* Are uncomfortable being held to clear standards and KPIs

Success in Your First 30 Days
* Scorecards and trackers are updated daily and submitted on time
* Missing data and revenue-risk issues are identified and flagged quickly
* Commission, referral, re-sign, and PayRight tracking are accurately maintained
* CRM note gaps are identified and addressed
* Canva assets and social media tasks are delivered consistently and on schedule
* The sales and marketing team has cleaner, more reliable support
