Sales Admin & Order Processing Coordinator

We are a UK-based fencing and timber supplier going through an exciting period of growth. We are looking for a reliable, detail-oriented sales admin coordinator to take full ownership of our sales inbox and order processing — freeing up our UK sales team to focus on winning new business. This is a long-term role with real opportunity to grow your responsibilities over time.
What you'll be doing
Sales inbox management (your primary focus)
- Manage our shared sales inbox throughout the UK working day
- Triage incoming
- Draft responses to customers (reviewed by the UK team initially)
- Prioritise urgent or high-value requests and escalate where needed
Quote preparation
- Prepare customer quotations using our ERP system (Intact IQ — training provided)
- Input product details and pricing accurately following our guides
- Support quoting across both our core fencing range and our NoiseBloc™ acoustic fencing products
Order processing
- Convert approved quotes into sales orders
- Process orders received by
- Flag any discrepancies or issues to the UK team promptly
Website order management
- Monitor incoming website orders and ensure they sync correctly into our system
- Investigate and resolve missing or failed orders
- Handle basic customer queries (returns, delivery questions)
Daily reporting & process improvement
- Send a short daily summary to the sales team covering key activity, orders, and flags
- Spot repetitive tasks and suggest ways to streamline them over time
What we're looking for
- Strong written English — clear, professional, and customer-friendly
- Highly organised with strong attention to detail
- Comfortable managing a high volume of tasks across the day
- Proactive — you take ownership and flag issues rather than waiting to be asked
- Previous experience in a sales support, order processing, or customer service role
- Experience with ERP or CRM systems is a bonus but not essential — we'll train the right person

Working hours
Monday to Friday, 07:00–16:30 UK time (GMT/BST). You must be available and responsive throughout these hours via Microsoft Teams. This role mirrors an in-office working environment — we need someone present and communicative, not just available.
