## About the Role
I am looking for a reliable and highly organised Virtual Assistant with strong bookkeeping and accounting administration experience to support a UK-based business owner.
This is not just a basic admin role. I need someone who is confident handling financial records, invoices, receipts, expenses, payment tracking and general business administration. The right person will be detail-focused, proactive and able to keep things organised without needing constant supervision.
The role will suit someone who has previously supported small businesses, consultants, contractors, agencies or professional services companies.
## Key Responsibilities
### Bookkeeping and Finance Support
You will be responsible for helping keep financial records accurate, organised and up to date.
This may include:
Maintaining income and expense records.
Preparing and sending invoices.
Tracking payments received.
Following up on overdue invoices where required.
Organising receipts, supplier invoices and financial documents.
Reconciling transactions against bank statements or payment records.
Categorising expenses correctly.
Preparing simple weekly or monthly finance summaries.
Maintaining cashflow trackers.
Preparing accountant-ready records.
Highlighting missing receipts, unclear transactions or unusual costs.
Supporting VAT, tax and year-end preparation where needed.
### Accounting Administration
You should be comfortable supporting basic accounting admin, including:
Checking invoices for accuracy.
Tracking supplier payments and due dates.
Maintaining financial spreadsheets.
Preparing simple profit and loss summaries.
Supporting budget and cost tracking.
Keeping finance folders clean, structured and easy to audit.
Liaising with accountants or advisers when needed.
### General VA and Business Support
In addition to finance-related tasks, you may also support with general administration, including:
Email
Calendar and meeting coordination.
Document preparation.
File organisation.
Supplier research.
Basic business research.
Preparing simple reports.
Updating trackers and task lists.
Supporting ad hoc operational tasks.
## Tools and Systems
Experience with some of the following would be useful:
QuickBooks.
FreeAgent.
Excel.
Google Sheets.
Microsoft Outlook.
Gmail.
Google Drive.
OneDrive.
Dropbox.
Asana, Trello,
Canva or basic design tools would be a bonus.
Experience using ChatGPT or AI tools to improve admin efficiency would also be useful.
## Required Experience
The ideal candidate should have:
Previous experience as a Virtual Assistant, Bookkeeper, Finance Assistant or Admin Assistant.
Strong bookkeeping or accounting administration experience.
Good understanding of invoices, receipts, expenses, reconciliations and basic reporting.
Excellent attention to detail.
Good written English.
Strong Excel or Google Sheets skills.
Experience working remotely.
Ability to manage tasks without constant supervision.
A reliable internet connection and professional remote working setup.
The ability to handle confidential financial information discreetly.
## Desirable Experience
It would be helpful, but not essential, if you have:
Experience supporting UK-based businesses.
Knowledge of UK VAT, corporation tax, self-assessment or Companies House requirements.
Experience working with contractors, consultants or small business owners.
Experience chasing invoices professionally.
Experience preparing information for accountants.
Experience creating simple dashboards or reporting packs.

## Working Hours
The role is fully remote.
