Position Summary
As the Assistant, you will serve as a trusted partner to the executive team, helping reduce administrative workload while supporting agency operations, recruiting efforts, reporting, and workflow automation.
This position requires excellent communication skills, exceptional attention to detail, strong follow-through, and the ability to manage multiple priorities independently. You must be comfortable working with systems, technology, and process improvement while maintaining confidentiality and professionalism.
Key Responsibilities
Administrative Support
Manage calendars, appointments, meetings, and scheduling
Coordinate internal and external communications
Organize documents, files, and operational records
Prepare presentations, spreadsheets, reports, and executive summaries
Assist with project coordination and task management
Handle miscellaneous administrative tasks as assigned
Track priorities and ensure deadlines are met
GoHighLevel (GHL) Administration & Automation
Build, manage, and optimize GoHighLevel workflows
Create and maintain automation sequences
Manage pipelines, opportunities, and CRM records
Configure triggers, campaigns, forms, and integrations
Troubleshoot workflow issues and identify process improvements
Support marketing and lead management operations within GHL
Reporting & Operations
Generate weekly management reports
Compile operational, recruiting, and performance data
Maintain reporting dashboards and spreadsheets
Track KPIs and identify trends
Assist with process documentation and workflow improvements
Support operational initiatives across the agency
Preferred Qualifications
Experience working for a digital marketing agency
Understanding of digital marketing concepts, lead generation, CRM management, and marketing funnels
Experience with project management platforms such as ClickUp, Asana,
Experience creating dashboards and reporting systems
Familiarity with CRM systems and marketing automation platforms
Experience supporting U.S.-based executives or companies
Knowledge of recruiting platforms such as OnlineJobs.ph, JobStreet, LinkedIn, and Indeed
