Haz-Ed Services Pty Ltd is a Western Australian business headquartered in Wangara, Perth. We operate across several divisions, including nationally recognised workplace safety training, height safety system installation and recertification, equipment supply, and servicing.

Our clients range from state government and local councils to major commercial operators across Perth metro and regional Western Australia.

We are growing and need a highly skilled Bookkeeper/Executive Assistant based in the Philippines to join our remote team.

This role will begin as an initial part-time engagement of approximately 15–20 hours per week, with the possibility of moving to full-time if there is a good long-term fit.

We are looking for someone who can bring financial discipline, high-level administrative support, and genuine ownership to a fast-moving business.

The right person will be able to support the numbers, the Director, and the day-to-day operating rhythm of the business.


About The Role

As our Remote Bookkeeper / Executive Assistant, you will play a key role in keeping Haz-Ed financially organised, operationally efficient, and well supported at the Director level.

This is a hybrid role.

On the bookkeeping side, you will manage day-to-day accounts, reconciliations, reporting, payroll support, BAS/IAS preparation support, debtor follow-up, and financial record keeping.

On the executive assistance side, you will work directly with the Director to manage inbox priorities, calendar coordination, communications, follow-ups, SOPs, documentation, reporting, and administrative systems.

You will need to be confident working across both detail-heavy financial tasks and fast-moving executive support.

The right person will be highly organised, proactive, accurate, discreet, and able to keep important tasks moving without needing constant reminders.

Working hours: Perth business hours, AWST / UTC+8
Engagement: Full-time, long-term


Key Responsibilities

Bookkeeping and Finance
* Day-to-day bookkeeping using Xero
* Accounts payable and accounts receivable management
* Daily and weekly bank reconciliations
* Payroll processing support
* Quarterly BAS and monthly IAS preparation and lodgement support
* Australian GST, BAS, and PAYG-related bookkeeping support
* Cash flow forecasting and budget tracking
* Financial reporting, including P&L, Balance Sheet, aged debtors, and aged creditors
* Invoice generation, client follow-up, and debtor management
* Supporting project-based job costing for installation works
* Training division revenue tracking
* Document management — organised, audit-ready filing
* Ad hoc financial analysis as directed by the Director

Executive Assistance and Director Support
* Inbox management, including triaging emails, flagging priorities, drafting responses, and following up on outstanding items
* Calendar management, including scheduling meetings, coordinating availability, and helping the Director stay prepared
* Communication support across clients, suppliers, contractors, internal tea ---------- mbers, and external stakeholders
* Preparing, formatting, and maintaining reports, spreadsheets, presentations, and business documents
* Tracking action items, deadlines, decisions, and follow-ups after meetings or Director's instructions
* Creating, updating, and organising SOPs, checklists, process documents, and internal records
* Maintaining organised digital files, folders, and document management systems
* Assisting with CRM, database, and admin system updates
* Supporting internal communication so tasks do not get lost between departments
* Helping improve administrative workflows and business systems
* Handling confidential business and financial information with professionalism
* Providing ad hoc operational and executive support as directed by the Director


What We’re Looking For

Essential
* Minimum 5 years of bookkeeping, accounting, finance administration, or similar experience
* Strong Executive Assistant or senior administrative support experience
* Proven experience managing inboxes, calendars, communications, documents, and follow-ups for a business owner, Director, or senior leader
* Xero certified or highly proficient in Xero
* Demonstrated experience with Australian business accounting, including GST, BAS, and PAYG
* Strong understanding of accounts payable, accounts receivable, reconciliations, payroll support, and financial reporting
* Experience supporting Australian clients or Australian businesses remotely
* Excellent written and verbal English communication skills
* Strong attention to detail and numerical accuracy
* Excellent organisation, prioritisation, and follow-through
* Ability to work independently and keep tasks moving without constant supervision
* Ability to manage confidential information with care
* Reliable internet connection and a professional home office setup
* Availability during Perth business hours, AWST / UTC+8

Highly Regarded
* Experience supporting Australian trade, construction, equipment, safety, or training sector businesses
* Familiarity with payroll for Australian contractors and employees
* Experience with job costing, project tracking, or division-based reporting
* Experience preparing management reports or financial summaries
* Strong skills in Microsoft Excel and Google Sheets
* Experience creating SOPs, process documents, or internal admin systems
* Experience working directly with a founder, Director, or business owner in a remote environment
* Confidence communicating with suppliers, clients, contractors, and internal tea ---------- mbers
