JOB OVERVIEW

Mesilla Valley Estate Sales is seeking a highly organized, detail-oriented Remote Auction Operations Coordinator to support the weekly production and administration of our online auctions.

This is a remote role for someone comfortable managing detailed administrative work, digital files, Google Sheets, customer communication, and recurring weekly auction tasks. The right candidate will be dependable, accurate, responsive, and able to follow established procedures while helping keep each auction organized from preparation through post-auction follow-up.

KEY RESPONSIBILITIES

- Review entered auction form data, lot descriptions, dimensions, consignor details, and image numbers against original scanned forms to ensure accuracy and track missing or unclear information.

- Manage the image, CSV, and website upload workflow: downloading image folders, editing images in Fotoxx, renaming files to required format, updating the final CSV Google Sheet, uploading images through FileZilla, uploading CSV files to the auction website, resolving validation errors, and reviewing uploaded lots for accuracy.

- Coordinate with managers, accounting, image editor, and tea ---------- mbers through Google Chat to resolve missing information, corrections, consignor issues, image questions, and upload errors.

- Monitor Gmail and live chat, respond professionally to customer questions, and escalate issues to managers when needed.

- Handle weekly marketing tasks: syncing contacts to Constant Contact, creating Canva ads, preparing and sending auction emails on Wednesdays and Saturdays, sending test emails for review, and making requested edits.

- Support post-auction tasks: generating pickup sheets and labels, preparing pick lists, marking cash customers, emailing cash customers, zeroing automobile invoices for in-person payment, and updating pickup appointments.

- Update and maintain the weekly pickup management app backend (Google Sheets based) each week after auction ends. This syncs customer pickup data, appointment schedules, and shipping information.

- Assist with shipping coordination: adding shipping customer details, coordinating with the shipping team, and emailing tracking numbers after shipment.

- Prepare weekly Tuesday consignor sales reports, review for accuracy, and email to accounting and managers.

WEEKLY SCHEDULE

Tuesday through Saturday with some Monday tasks. Philippines time:
10:00 AM – 12:00 PM
2:00 PM – 8:00 PM
Wednesday is the busiest day. Additional availability may be needed during large auction weeks.

REQUIRED SKILLS

- Strong attention to detail
- Good written English
- Experience with Google Sheets
- Comfortable with CSV files and digital file management
- Ability to compare information carefully across forms, spreadsheets, and website listings
- Professional communication with customers and tea ---------- mbers
- Ability to work independently and meet deadlines

Training will be provided. We are looking for someone reliable, accurate, and committed to a long-term role of two years and beyond.
