We are a fast-growing real estate investment and sales company operating in multiple Ohio counties. We’re building an automated system that pulls probate, foreclosure, and expired listing data daily — and we’re looking for a highly reliable Virtual Assistant to manage data collection, organization, and uploads into our internal systems.
This position is perfect for someone who’s tech-savvy, detail-oriented, and hungry to learn automation tools. You’ll be working directly with the company owner and automation manager to ensure accurate data flows from public sources into our CRM and marketing platforms.
Responsibilities:
? Download and organize daily county foreclosure and probate case PDFs (from government sites).
? Rename and store files consistently in Google Drive.
? Upload data to Google Sheets and ensure all formatting and fields are correct.
? Tag and update records in Lofty CRM, Mailbox Power, and
? Verify addresses, check for duplicates, and maintain data integrity.
? Communicate daily progress using Slack/Notion.
? Follow detailed SOPs and eventually help improve automation workflows.
Preferred Skills & Tools:
Experience with Google Sheets (ARRAYFORMULA, filters, formatting)
Comfortable using Zapier,
Knowledge of CRM systems (Lofty, GoHighLevel, HubSpot, etc.)
Strong English reading/writing skills
Keen eye for accuracy and consistency
Bonus: Experience with data scraping, skip tracing, or real estate data entry
Work Schedule:
Part-time: 20-30 hours/week
Working hours: flexible, but must provide a daily update by 10 AM EST
Long-term position with growth potential into Automation Specialist / Data Manager
Pay:
???? Starting at $3–$4/hour, depending on experience
Performance bonuses after 90 days
$100+ bonus per closed deal sourced from your data
Annual raises based on accuracy and initiative
