About the role
We are the remote owners of a student rental property near Simon Fraser University in Burnaby, Canada (about 10 rooms across two suites and a shared home). We rent primarily to SFU students. We run our operation remotely and need a reliable, organized Virtual Assistant to be the single point of contact for our tenants and to run our leasing and communications process, following our systems and scripts.

What you'll do
Tenant communications: Handle all tenant inquiries and day-to-day messaging via WhatsApp, warm, professional, and prompt.
Advertising: Create and post room listings everywhere students look,
Applicant screening (Round 1): Conduct first-round interviews and screen applicants against our criteria sheet (we provide it). Shortlist qualified candidates and schedule them for further interview rounds with the owners.
Room Tours: Conduct room tours via video call (we will provide a guide), this will be in day time PST hours.
Leasing & move-outs: Manage the lease process, prepare and send lease agreements and renewals for digital signature, collect signed documents, and handle room transfers (ending one lease and starting a new one when a tenant changes rooms or move out).
Rent & payments: Send scheduled rent reminders, follow up on late payments using our scripts (including late-fee notices), and confirm payments received. We accept e-Transfer (credit card coming soon).
Logging & reporting: Keep our Google Sheets tracker fully up to date, maintenance requests, payment status, lease dates, tenant issues, and send us short daily/issue updates so we always know what's happening. *This is important*
Follow our systems: We have step-by-step SOPs and message templates. Your job is to execute them consistently.
What we're looking for:
Excellent written English — this is the #1 requirement, since almost all communication is written.
Reliable, organized, and process-driven; comfortable following SOPs and scripts exactly.
A calm, firm, professional manner with tenants — not a pushover, but never abrasive.
Comfortable with WhatsApp, Google Sheets, and digital signing tools.
Property management, real estate, or customer service experience is a strong plus.
Stable internet and a quiet place to work.
Hours & pay
Part-time, flexible — roughly 15–25 hours/week, often less, sometimes more (September is a busy month)
Some overlap with Vancouver (Pacific time) business hours is a plus but not required; a night-shift schedule works fine for us most of the time.
$300 to 400 USD/month, paid monthly via Wise or Paypal
Starts with a paid 30-day trial; ongoing role for the right person.
