Asana, Freshsales CRM and Automation
Remote contractor engagement | Open to Philippines-based applicants | Australian client

We run three connected businesses out of Australia and there are a lot of moving parts. We need one organised, switched-on person to own the systems behind all of it so nothing slips through the cracks.
If you genuinely enjoy taking a messy pile of emails, ideas, and half-finished tasks and turning it into a clean tracked project that actually gets finished, you are going to like this role.
This is a contractor engagement, not a job. You manage your own hours, equipment, invoicing, and tax. But we are looking for someone for the long run, not a one-off.
Who you would be working with
The businesses span accommodation, tourism, events, podcasting, and digital marketing:

iBooked.Online builds websites and book-direct marketing strategies for accommodation businesses.
The Accommodation Show is a weekly podcast featuring leaders from across the short-term rental and accommodation industry.
STRIVE Conference is an industry event series with speakers, sponsors, partners, and attendees, currently expanding across APAC.
On top of those there is a steady stream of client work, marketing, partnerships, and content projects.
What you would actually do
Your job is to make sure work gets tracked, people get followed up, deadlines get hit, and information lives in the right place instead of scattered across our inboxes. In practice that breaks down into a few areas.
Run our projects in Asana
Asana is where delivery happens. You would build and maintain clear projects for events, podcast production, website work, marketing, and internal jobs. That means turning conversations, emails, and meeting notes into real tasks with owners, due dates, and priorities. You would spot overdue tasks and missing assets before they become problems, keep the boards genuinely useful rather than cluttered, and send us a regular summary of what is done, what is coming up, and what is stuck.
Run our pipeline in Freshsales CRM
Freshsales is where relationships and follow-ups ---------- sponsors, partners, leads, speakers, suppliers. You would keep records accurate, track next actions and pipeline stages, and make sure no opportunity dies because someone forgot to follow up. We also want your help building simple CRM processes and sensible automations rather than just data entry.
Coordinate the STRIVE conferences
Events are where the most balls are in the air. You would manage speaker and sponsor deliverables, chase bios, headshots, presentation files, logos, contracted inclusions, ticket allocations, invoices, and marketing deadlines, and keep the operational checklists and timelines current.
Keep the podcast and content moving
You would manage the workflow for guests, recordings, transcripts, show notes, and promo, so every episode moves smoothly from booking to launch without us having to remember what stage it is at.
Coordinate website and marketing projects
You would track client content, images, approvals, and outstanding actions, and coordinate between clients, designers, developers, and marketing contractors so projects stay on schedule.
Improve how we work
When you spot a process we keep doing manually, we want you to say so and fix it. Templates, checklists, SOPs, and practical automations between Freshsales, Asana, and Google Workspace. You do not need to be a developer. You do need to look at a repetitive task and think "this should be automated."
The systems you would use

Asana for project and task delivery
Freshsales CRM for contacts, pipelines, and follow-ups
Automation and AI: Zapier or Make, Google Workspace, Asana rules and templates, Freshsales workflows, and AI tools like ChatGPT for summaries, drafts, and documentation
Who we are looking for
The right person:

Has real experience in project management, operations, or delivery coordination
Is strong in Asana, or a very similar project management tool
Has CRM experience, ideally Freshsales or Freshworks, but HubSpot, Pipedrive, or similar is fine
Writes excellent, professional English
Can run their own deliverables and deadlines without being chased
Goes looking for missing information, overdue tasks, and gaps instead of waiting to be told
Is comfortable following up external people directly
Understands the difference between recording a task and actually driving it to done
You do not have to be an expert in both Asana and Freshsales today. The ideal candidate is genuinely strong in one, comfortable with pipeline-style CRM work, and quick to learn the other and build sensible workflows between the two.
Bonus points for
Experience with any of these will stand out: Freshsales setup and automation, advanced Asana (rules, dashboards, reporting), Zapier or Make, event or conference coordination, sponsor and partnership management, podcast production, website agency or digital marketing project management, SOP documentation, AI-assisted workflows, and working with Australian, New Zealand, UK, or US clients.
Hours and availability
This is flexible and based on what is active. Expect roughly 15 to 20 hours per week to start, rising and falling with projects and the conference calendar.
No fixed daily hours, but you will need to attend the occasional meeting, stay responsive around deadlines, and have some practical overlap with Melbourne, Australia time. You are free to work with other clients as long as there is no conflict of interest.
Rate
Hourly contractor rate in PHP, invoiced for approved hours worked.
Indicative range: PHP 150 to PHP 175 per hour, depending on your experience, ability to own projects, CRM skills, and practical automation capability. Demonstrated Freshsales and Asana experience puts you toward the top of that range.
Confidentiality
You would handle business, sponsor, partner, and client information, content calendars, and account access. You will need to sign a contractor agreement covering confidentiality, data protection, account security, intellectual property, and conflicts of interest. Any access you are given is used only for agreed work and kept secure.
