We have a team of 4 virtual assistants currently, we looking for an Project/Operations Manager to be the leader of 2-3 of these VA's as well as work with the CEO to overall improve operations and company efficiency.
In the role of a Project & Operations Manager, one is responsible for developing and executing project plans, coordinating team activities, and monitoring team timelines and resources. This also entails overseeing day-to-day operations, developing policies and procedures, and optimizing processes for efficiency. In client management, the manager maintains client relationships, understands their needs, and resolves issues promptly. Additionally, they assess training needs, design programs, and monitor effectiveness, ensuring continuous learning and development. The Project & Operations Manager is expected to collaborate with cross-functional teams, foster a positive team environment, and implement improvements for successful project delivery and operational excellence.
RESPONSIBILITIES
Project Management
• Develop and execute project plans to meet objectives and deadlines for client deliveries.
• Coordinate project team activities, ensuring clear communication and collaboration
• Identify and mitigate possible project conflicts to ensure successful delivery
• Establish and maintain project documentation and reporting.
• Foster a positive team environment, promoting productivity and motivation.
• Conduct project reviews to evaluate performance and implement improvements.
Operations Management
• Oversee day-to-day operational activities to ensure efficiency and productivity.
• Develop and implement operational policies and procedures.
• Optimize processes to enhance overall business performance.
• Manage and allocate resources effectively to meet organizational goals.
• Monitor and analyze key performance indicators for operational excellence
• Identify areas for improvement and implement operational enhancements.
• Collaborate with cross-functional teams to streamline workflows and processes.
Client Management
• Work closely with our Client Success Manager (she answers our phones and owns the relationship with the clients)
• Cultivate and maintain strong relationships with clients.
• Understand and anticipate client needs, providing tailored solutions.
• Act as a liaison between clients and internal teams to ensure effective communication
.• Resolve client issues and concerns promptly and professionally.
• Collaborate with cross-functional teams to identify upsell and cross-sell opportunities.
• Develop and implement client retention strategies to enhance long-term relationships.
Training Management
• Assess organizational training needs and develop training plans accordingly.
• Design and deliver effective training programs
• Collaborate with department heads to identify specific skill gaps and training requirements.
• Create training materials, manuals, and documentation to support learning initiatives.
• Monitor and evaluate training program effectiveness through assessments and feedback.
• Establish and maintain a training schedule, ensuring timely delivery of programs.
• Track and report on progress employee and training completion rates.
• Provide ongoing support and resources for continuous learning and development.
