Summary
Why This Role Exists

Every week, B2B companies lose deals — not because their offer is bad or their sales team can't close, but because leads go cold in the 72 hours between booking a call and showing up. Nobody owns that gap. Marketing stops at the booking. Sales starts at the call. The middle is a dead zone.

At Preclose.ai, we fix that. We build pre-call systems that fill that gap with automated emails, iMessage conversations, sales assets, and custom funnels - so leads show up warm, educated, and ready to buy. Our clients go from 40-50% show rates to 75%+. Some have doubled their revenue without generating a single extra lead.

The system works. The delivery process works. We've proven it across multiple clients. Now we're scaling from 1-2 concurrent builds to 6-12+, and the founder can't be the one chasing tasks, pinging clients for passwords, and tracking 60 deliverables per build anymore.

That's where you come in.

Your job isn't to build the system. It's to make sure the system gets built — on time, every time, for every client.

We're about to scale from 1-2 concurrent clients to 6-12+, and we need a PM who can own the delivery process so the founder can focus on sales and strategy instead of chasing tasks.

What You'd Actually Be Doing

You'd own the delivery board for every active client. Here's what a typical client build looks like — 7 phases, ~60 tasks, 7-14 day timeline:

Phase 1: Onboarding (Days 1-3)
Collecting client info, logins, call recordings, brand assets, CRM access. Making sure nothing stalls because we're waiting on a password or a form submission. You'd be the person pinging the client when something's overdue and making sure our team has what they need to start work.

Phase 2: Research & Analysis (Days 2-5)
Our team analyzes sales calls, runs competitor research, builds customer journey maps, and creates copy references. You don't do this work — you make sure it happens on schedule, flag blockers, and coordinate handoffs between the research phase and the copywriting phase.

Phase 3: Sales Process Automations (Days 3-7)
Our systems builder sets up the GHL subaccount, connects domains, configures Zapier integrations, builds workflows, and wires up SMS/email sequences. You track progress, make sure integrations are tested, and coordinate between the systems builder and the copywriter (because the emails need to be written before they can be loaded into GHL).

Phase 4: Copywriting & Sales Assets (Days 5-10)
Case studies, value emails (7-email sequence), sales assets, confirmation page copy. You manage the review cycle — drafts go to founder for review, feedback gets routed back, revisions happen, final approval before upload.

Phase 5: Thank-You Page Funnel (Days 8-12)
Design, copy upload, VSL script/filming coordination, Microsoft Clarity tracking, internal review, client approval, linking to application flow. You keep this on track and make sure nothing sits in "waiting for review" limbo.

Phase 6: Testing & QA (Days 11-13)
Internal quality checks on the full system — test bookings, verify emails/SMS fire correctly, check timezone handling, confirm all links work. You coordinate the QA checklist and make sure issues get fixed before client handoff.

Phase 7: Launch (Day 14)
Client handoff Loom, team training (setter/closer onboarding), launch approval, and scheduling the 7-day / 14-day / 30-day check-ins.

The Real Job
Strip away the phases and here's what you're actually doing day to day:

Keeping 6-12 client boards moving simultaneously. Every client has ~60 tasks. Your job is making sure nothing sits idle for more than 24 hours.

Coordinating between 3-4 people per client. Founder (strategy + copy review), systems builder (GHL + Zapier), copywriter (emails + assets), and the client themselves (approvals + assets).

Chasing deliverables.

Client hasn't uploaded call recordings? You follow up.

Copywriter finished drafts but founder hasn't reviewed? You ping.

Systems builder is blocked waiting on DNS verification? You escalate.

Running the review/approval cycle. Drafts ? review ? feedback ? revision ? approval ? upload. For emails, sales assets, thank-you pages, VSL scripts. This cycle happens 10-15 times per client.

Maintaining the timeline. 14 days is the maximum. If onboarding slips by 2 days, everything downstream shifts. You catch slippage early and adjust.

Reporting status. Quick daily updates on where each client stands, what's blocked, what's next.

What You Need

Must have:
- Experience managing multiple concurrent projects with 14-30 day timelines
- Comfortable with project management tools (we use Launchbay — experience preferred but not required)
- Strong written communication (before using any AI) — you'll be client-facing for status updates and deliverable collection
- Ability to work across US time zones (most client communication happens EST/PST business hours)
- Detail-oriented enough to track 60+ tasks across multiple clients without things falling through cracks
- Comfortable learning new tools — you'll need to understand GHL, Zapier, and Sendblue well enough to know when something is blocked vs. when someone just hasn't done it yet

Ideal but not required:
- Experience with GHL (GoHighLevel) or Zapier or similar CRM/automation platforms
- Experience in agency delivery or client services
- Familiarity with Zapier workflow management
- Understanding of B2B sales processes
- Experience coordinating copywriting/content delivery

What you do NOT need to do:
- Write copy
- Build automations
- Design anything (ideas are MUCH appreciated for how to improve the system though)
- Get on sales calls

You're the operational backbone. You make sure the people who DO those things can do them without bottlenecks.

Logistics
- Hours: 15-20 hrs/week to start, scaling with client volume
- Schedule: Flexible, but need overlap with US business hours for client communication (at least 4-5 hours EST overlap)
- Tools: Launchbay, Slack, Loom, Google Workspace
- Start: Within 7-14 days — we have active clients and are onboarding more
