Job Overview
Rohring Results is hiring a Client Project Coordinator to support our Account Managers and execution teams across multiple departments, including Social Media, Web, SEO, and Leadership.
This role is responsible for keeping tasks organized, communication clear, client requirements documented, and project timelines moving forward.
You will help translate client updates into actionable tasks, monitor project progress, manage Hubstaff project hours, identify blockers, and provide daily reports to the Account Managers before their EST workday begins.
This is a role for someone who is highly organized, detail-oriented, proactive, and comfortable managing workflow across multiple teams.
Main Responsibilities
Account Manager Coordination
Attend the daily 5:30 PM EST Account Manager meeting
Take notes on client feedback, revisions, priorities, and new requests
Convert meeting discussions into clear and structured tasks
Confirm scope and deliverables before assigning work to teams
Make sure Account Managers have project visibility each day
Execution Team Coordination
Attend PH department standups
Coordinate with Leadership, Social Media, Web, and SEO teams
Review task progress and completed work
Identify blockers or missing information
Clarify task requirements for execution teams
Close communication loops between teams and Account Managers
Task and Workflow Management
Organize department boards
Write clear, time-bound tasks
Assign and prioritize tasks
Track deadlines and project timelines
Follow up on overdue or stagnant tasks
Help balance workload across departments
Keep project boards clean and updated
Hubstaff Project and Budget Management
Create Hubstaff projects per client
Allocate time by department based on contract scope
Assign tea
Monitor hours daily
Flag budget risks or overages
Identify scope creep early
Coordinate approvals before extra hours are used
Daily Reporting
Before the EST morning begins, send Account Managers a daily report including:
Completed tasks by client
Status updates on active deliverables
Items needed from clients
Blockers or risks
Budget concerns
Scope creep alerts
Priority items for the day
Future-Proofing Tasks
Identify recurring workflow issues and recommend process improvements
Help document standard operating procedures (SOPs) for repeatable tasks
Suggest automation or tool improvements to increase efficiency
Track patterns in delays, budget overruns, or scope creep and propose solutions
Support scalability by helping standardize task structures and reporting formats
Assist in onboarding new tea
Continuously improve task clarity, reporting quality, and cross-team communication
Required Skills
Excellent written English
