JOB OVERVIEW

Job Title: Project Coordinator (Logistics & Operations) | Remote / Hybrid
The Mission
I run a fast-growing Hospitality FF&E firm. We move millions of dollars of custom furniture and fixtures from global factories to hotels across the country. I sell the deals and source the product. You ensure it actually arrives—on time, on spec, and on budget.
The Role
You are the engine room. Once a contract is signed, you own the process until the final chair is installed. Your goal is simple: Zero surprises.
What You Will Actually Do (The 80%)
The Paper Trail: Convert signed contracts into detailed Purchase Orders (POs) for factories. If a decimal point is wrong, you catch it.
The Watchtower: Track production timelines with overseas factories. You don't wait for updates; you demand them.
The Logistics: Coordinate freight forwarders, customs brokers, and warehousing. You solve shipping delays before I even know about them.
The Finisher: Manage the "Punch List." If a lamp arrives broken, you are already filing the insurance claim and ordering the replacement before the client complains.
The Gatekeeper: Manage the operational inbox. You filter the noise so I only see the fires that actually need water.
The DNA (Who You Are)
You are "OCD" organized. You love spreadsheets, checklists, and Asana/Trello boards. A messy inbox physically pains you.
You are a finisher. You don't "start" projects; you close them out.
You have thick skin. Logistics is messy. Factories lie. Trucks break down. You don't panic; you problem-solve.
FF&E / Logistics experience is a massive plus. You know what a Bill of Lading is and you know the difference between a side chair and an armchair.
The Anti-Persona (Do NOT Apply If...)
You want to be an interior designer. This is not a design role. This is a logistics and operations role.
You need to be micromanaged. I am looking for someone to take responsibility, not ask for permission to send an email.
You hide bad news. I need to know the truth immediately so we can fix it.
Compensation & Growth
