JOB OVERVIEW

We are seeking a Project Administrator to support multiple active construction projects. This role is critical to ensuring project operations remain organized, compliant, and moving forward efficiently while supporting project managers and field teams through construction documentation cycles and jobsite coordination.

The ideal candidate will have hands-on experience with construction documentation workflows, strong knowledge of project management software like Procore, and the ability to manage competing deadlines in a fast-paced environment. This position collaborates cross-functionally with project managers, superintendents, subcontractors, and consultants to maintain project accuracy and efficiency throughout the construction lifecycle.

Job Responsibilities:

-Support project setup and maintain accurate project documentation in construction management software.
-Manage and track RFIs, submittals, and change orders across multiple active projects.
-Prepare and administer subcontract agreements and assist with contract execution workflows.
-Coordinate subcontractor onboarding, including insurance certificates and compliance tracking.
-Track subcontractor insurance, lien releases, and closeout documentation.
-Assist with pay application support and related documentation coordination.
-Maintain drawing logs and ensure current plan sets are distributed to project teams.
-Support communication between field teams and office staff across projects.
-Collect, organize, and assemble project closeout documentation packages.
-Help ensure project information is accurate, current, and accessible across teams.
-Identify opportunities to improve consistency and efficiency in project operations.

Qualifications:

-Bachelor's degree with at least 5 years of relevant experience in construction project support, or equivalent work experience.
-Hands-on experience with construction documentation workflows, including RFIs, submittals, change orders, and closeout packages.
-Experience supporting multiple active construction projects simultaneously.
-Strong working knowledge of Procore or similar construction management software.
-Excellent organizational skills and attention to detail in document-heavy environments.
-Ability to manage competing deadlines in a fast-paced, dynamic environment.
-Self-motivated and able to work both independently and collaboratively.
-Strong written and verbal communication skills across project teams.
-U.S. client experience required.
