JOB OVERVIEW

This is an assistant project manager role for a commercial plumbing contractor.
Applicants should have experience in working cor construction firms and with plumbing materials and methods.

The Assistant Project Manager (APM) supports the Project Management team by coordinating project information, tracking materials and labor usage, preparing reports, and assisting with project documentation. This role ensures projects stay organized, materials arrive on time, and accurate information is available for meetings and decision-making
The APM works closely with Project Managers, Foremen, estimators, and office staff to track project progress, manage documentation, and maintain communication with customers and general contractors.

Key Responsibilities
Project Tracking & Coordination
Track project timelines and milestones to ensure schedules are being followed.

Material Tracking
The Assistant Project Manager (APM) supports the Project Management team by coordinating project information, tracking materials and labor usage, preparing reports, and assisting with project documentation. This role ensures projects stay organized, materials arrive on time, and accurate information is available for meetings and decision-making
The APM works closely with Project Managers, Foremen, estimators, and office staff to track project progress, manage documentation, and maintain communication with customers and general contractors.

Key Responsibilities: Project Tracking & Coordination
Track project timelines and milestones to ensure schedules are being followed.
Assist Project Managers with overall project coordination.

Material Tracking
Monitor when materials will be required on site.
Coordinate with Project Managers and field teams to ensure timely material delivery.
Maintain material logs and update procurement status.

Labor & Cost Tracking
Compare actual hours vs estimated hours from project budgets.
Track actual material usage vs estimated materials .
Prepare reports highlighting variances.

Meeting Reports & Project Analysis
Analyze project information and summarize key points.
Prepare charts and summaries for internal project meetings.
Present data comparing estimated vs actual project performance .
Change Orders & Submittals
Assist with creation and submission of project submittals .
Track approval status of submittals and change orders.
Maintain organized logs for project documentation.

Customer & Contractor Communication
Send and track project related emails and documentation.
Maintain professional communication with all project stakeholders.

Work Orders & Documentation
Maintain accurate project documentation.
Ensure documentation is properly filed for each project.

Skills & Qualifications
Ability to track and analyze project data
Strong written and verbal communication skills
Proficiency in Microsoft Excel and project tracking tools
Ability to manage multiple projects and deadlines
Attention to detail and accuracy

Preferred Experience
Experience with project management systems (Procore, Smartsheets, etc.)
Experience reviewing drawings, submittals, and change orders
Key Performance Indicators (KPIs)
Timeliness of material coordination
Accuracy of labor vs estimate tracking
Organization of project documentation
Responsiveness to project communication
