JOB DESCRIPTION

Overview
We’re looking for a reliable, detail-oriented Personal Virtual Assistant to help with day-to-day personal/admin tasks so I can free up mind bandwidth for business and career. This is a long-term role for the right person.

You’ll support an entrepreneurial household with inbox support, research, bookings, payment coordination, and turning messy info into clear next steps.

Location / Time Zone
• Remote (Philippines preferred)
• Primary timezone: London (UK time)
• Work is mostly asynchronous, but you must be comfortable with UK-time overlap.

Hours (initial)
• 2–3 hours/day
• 12–15 hours/week to start
• Max 20 hours/week
• Minimum 3 working days/week (can compress hours across fewer days if agreed)

How we’ll communicate
• Requests may come in outside your working hours (WhatsApp/email), but you can action them during agreed working hours.
• We will agree an Urgency Scale (example):
• U1 (Urgent): today / time-sensitive booking
• U2: within 24–48 hours
• U3: this week
• U4: whenever (backlog)

Key responsibilities (examples)

Daily/weekly personal admin
• Inbox support (ProtonMail/Gmail-style): triage, draft replies, follow-ups, reminders
• Calendar + scheduling support
• Docs/Sheets: trackers, lists, simple templates, organising information
• General admin: forms, confirmations, keeping things tidy and searchable

Project-based requests (important)
Some tasks will be “mini-projects” with multiple steps, timelines, and coordination, for example:
• Organising a driving track day (taking a car to a race track): research dates, book the track day, confirm requirements, logistics, checklists, and coordinate any extras (hotels, travel, timing)
• Property research: find houses for sale that match criteria, shortlist options, summarise trade-offs, and organise viewings

Online errands & payments (secure process)
• Online shopping, booking flights/hotels/restaurants, paying admin fees
• You will not have access to bank accounts. Purchases/payments will be done via a segregated Monzo card (controlled limits + approval workflow).

Required skills / traits
• Excellent written and spoken English
• Strong working knowledge of Google Docs + Google Sheets
• Comfortable with email tools (ProtonMail or Gmail equivalent)
• Highly organised (you enjoy lists, systems, checklists)
• Strong ability to synthesize information ? actionable tasks
• Follows instructions precisely, but asks clarification questions early
• Stable internet connection and reliability
• Access to WhatsApp
• Comfortable using (or learning) AI tools (e.g., ChatGPT) to improve speed/quality
• High level of discretion and confidentiality — you will handle sensitive personal and professional information

Internet requirement
• Stable connection suitable for calls, quick research, and cloud tools
• Please include your Speedtest result in your application (download/upload + ping)

Cognitive fit (screening - practical, not “labels”)
To avoid low-quality applicants, we screen for above-average reasoning and attention to detail (roughly “IQ ~110+ equivalent” problem-solving - no formal test needed). We also prefer traits commonly associated with high-performing assistants:
• High conscientiousness (detail-oriented, reliable)
• Calm, steady temperament
• Comfortable with process and checklists
If you’ve taken DISC, this role often fits higher C (detail) and S (dependable).

Pay

Budget is $500/month.
• Based on up to ~60 hours/month (?15 hours/week) ? about $8.30/hour
• Additional hours (if needed) are pre-approved and paid at the same hourly rate unless we renegotiate for expanded responsibilities.

Growth opportunity
If you excel at personal/admin execution, there is scope to expand into more complex work (entrepreneurial ops, social media support, higher-level research/admin), with more hours and higher pay agreed before any expansion.
