About the Role
We are a personal injury law firm seeking an experienced Prelitigation Client Advocate, often referred to as a case manager at personal injury firms, to manage personal injury claims from intake through settlement preparation.
This is not an entry-level position. We are looking for someone who already understands the prelitigation personal injury process, including client communication, insurance claims, medical treatment tracking, records and bills, liens, property damage, case updates, and preparing cases for settlement review.
The ideal candidate has prior experience working with a U.S.-based personal injury law firm and can confidently manage a prelitigation caseload with minimal training.
Primary Responsibilities
The Client Advocate will assist with personal injury prelitigation matters, including:
Client Communication and Case Management
Communicate regularly with clients regarding case status, treatment, property damage, insurance issues, and next steps.
Maintain consistent client contact and document all communications.
Explain the general prelitigation process to clients in a professional and client-friendly manner.
Follow up with clients regarding treatment status, provider information, lost wages, photos, documents, and other case-related needs.
Identify client concerns early and escalate issues to management or attorneys when needed.
Insurance Claims Handling
Open and monitor bodily injury, UM/UIM, MedPay, and property damage claims.
Communicate with insurance adjusters regarding claim status, coverage, liability, property damage, and settlement-related issues.
Request and track insurance coverage information, declarations pages, policy limits, claim numbers, and adjuster contact information.
Monitor adverse insurance decisions, coverage issues, delays, and claim problems.
Medical Treatment, Records, and Bills
Track client medical treatment from the beginning of the case through discharge.
Confirm providers, treatment dates, referrals, imaging, procedures, and ongoing care.
Request, collect, review, and organize medical records and bills.
Follow up with medical providers, records departments, billing offices, and third-party vendors.
Identify missing records, missing bills, gaps in treatment, and incomplete provider information.
Liens, Balances, and Health Insurance
Identify potential medical liens, letters of protection, health insurance claims, Medicare, Medicaid, AHCCCS, ERISA, workers’ compensation, and other reimbursement issues.
Track balances and lien information throughout the case.
Assist with requesting updated balances, lien confirmations, and final payoff information.
Maintain accurate notes regarding lien status and unresolved balance issues.
Property Damage and Other Damages
Assist clients with property damage issues, total loss claims, rental issues, vehicle repairs, diminished value, and related documentation.
Collect wage loss documentation, photos, out-of-pocket expenses, and other damages evidence.
Help ensure the file contains the information needed to evaluate damages before settlement review.
Case Organization and File Management
Upload, organize, label, and maintain case documents in the firm’s case management system.
Keep medical records, bills, insurance documents, correspondence, photos, wage loss documents, and settlement materials organized.
Maintain accurate case notes, tasks, deadlines, and follow-up reminders.
Ensure files are complete and ready for attorney review when needed.
Settlement Preparation
Assist with preparing cases for settlement review.
Confirm that treatment is complete or that the case is ready for settlement evaluation.
Help gather the documents and information needed for settlement opportunities, demands, or attorney review.
Prepare summaries, treatment timelines, provider lists, damages information, and other case materials as needed.
Proactively identify missing items before a case is moved toward settlement.
General Prelitigation Support
Help move cases forward proactively from intake through settlement.
Follow firm procedures and maintain high attention to detail.
Communicate professionally with clients, providers, adjusters, lienholders, and internal tea
Manage multiple cases while staying organized and responsive.
Required Qualifications
Applicants must have:
2–3 years of experience in personal injury prelitigation case management.
Prior experience working for a personal injury law firm.
Experience managing personal injury cases before litigation.
Experience communicating with clients, insurance adjusters, medical providers, billing offices, and lienholders.
Experience requesting and organizing medical records and bills.
Experience tracking medical treatment and case progress.
Experience handling or assisting with property damage claims.
Strong written and verbal English skills.
Strong attention to detail.
Ability to work independently and follow instructions.
Ability to organize digital files and manage multiple cases.
Reliable internet connection and computer.
Availability during U.S. business hours.
Preferred Experience
Experience with any of the following is a plus:
Arizona or New Mexico personal injury claims.
Case management software such as CASEpeer, SmartAdvocate, Filevine, Clio, Litify, or similar.
Handling UM/UIM, MedPay, and bodily injury claims.
Working with liens, health insurance reimbursement, Medicare, Medicaid, AHCCCS, ERISA, or workers’ compensation liens.
Preparing cases for settlement demands or policy-limit opportunities.
Reviewing medical records and bills.
Spanish-speaking ability.
Experience working remotely for a U.S.-based law firm.

Ideal Candidate
The ideal candidate is organized, proactive, detail-oriented, and experienced in personal injury prelitigation work. We need someone who can step into a client-facing case management role and help move cases forward without constant supervision.
You should be comfortable communicating with clients, tracking treatment, organizing records and bills, following up with providers and adjusters, identifying missing information, and preparing files for settlement review.
This role requires someone who cares about clients, keeps cases moving, and understands that strong prelitigation case management directly affects case outcomes.
