JOB OVERVIEW

We are a growing professional services firm looking for a long-term, detail-oriented Virtual Assistant to support email management, document organization, Excel-based work, and ongoing operational improvements.

This role will start part-time (2–4 hours per day) with flexibility depending on workload. Some days may require more or less time. This is intended to be a long-term position for the right person.

Key Responsibilities

-Email & Communication Support

-Manage and organize a high-volume Outlook inbox

-File emails consistently and maintain structure

-Draft professional, friendly email responses for review

-Support a goal of Zero Inbox by end of day

Excel & Data Work

-Create and maintain Excel documents used across the firm

-Sort, filter, clean up, and restructure data

-Use formulas such as SUM, IF, VLOOKUP/XLOOKUP

-Build and update pivot tables

-Assist with pulling data and manipulating it into useful formats

-Help create reusable Excel templates (nice to have)

Operations & Efficiency Support

-Organize and create SOPs and internal documentation

-Assist with small projects and research tasks as needed

-Help improve efficiency and consistency in day-to-day workflows

Potential future exposure to tools such as QuickBooks and Notion

Required Skills & Experience

-Strong written English (professional and friendly tone)

-Proven experience managing email and administrative workflows

Excel proficiency is required, including:

Sorting and filters

Data cleanup and restructuring

Pivot tables

Core formulas (SUM, IF, VLOOKUP/XLOOKUP)

Highly organized and detail-oriented

Able to work independently without constant direction

Reliable, responsive, and communicates clearly

Looking for a long-term role, not short-term contracts

Nice to Have

Experience building reusable Excel templates

Light Excel automation (Power Query or advanced formulas)

Familiarity with accounting or bookkeeping environments

Experience documenting processes or building SOPs

Schedule & Pay

Hours: 2–4 hours per day to start, Monday–Friday

Optional weekend work if you prefer and are working on projects

Some daily time overlap is required initially for communication

Rate: USD $4–$5 per hour to start

Performance-based raises available over time
