Order Fulfillment + Customization Workflow Support (Shopify)

Role Overview

We run an eCommerce store selling personalized products. We’re looking for a detail-oriented VA to manage the order fulfillment + customization workflow from order verification to production-ready files.

This role requires accuracy and strong process-following skills.

Responsibilities:

1- Review new orders in Shopify

2- Verify order number matches the customer email

3- Open the customer submission in Powerful Form Builder

4- Download uploaded images/files and confirm customer requirements (text, notes, options, etc.)

5- Organize files neatly (folders + naming system)

6- Add customization details to Customeow

7- Upload/add the final design files into Merchiize for production

8- Flag missing/unclear info and escalate quickly

9- Maintain a daily tracker (Google Sheets/Notion)

Requirements:

1- Proven experience handling Shopify orders/fulfillment

2- Strong attention to detail (must follow SOPs exactly)

3- Comfortable with downloading/organizing files and checking customer instructions

4- Experience with Customeow and/or Merchiize is a big plus (training provided if needed)

5- Good written English

6- Stable internet + reliable availability

Nice to Have:

1- Experience with personalized products / POD workflows

2- Basic design understanding (file formats, resolution, simple checks)
