Role Overview
The Operations and Growth Support VA will serve as the operational backbone of a growing coaching business, freeing the founder to focus exclusively on coaching, sales, content creation, and business development. This is not a low-stakes administrative role. It is an opportunity to be part of building something that genuinely changes lives.

Primary Responsibilities
Scheduling and Calendar Management
Manage all scheduling for client 1:1 coaching sessions, group coaching sessions, discovery calls, and speaking engagements
Send calendar invitations, confirmations, and reminders to clients and prospects
Coordinate time zones and availability across multiple session types
Maintain Dr. Manning's calendar with accuracy and proactive communication
Email
Monitor and triage the business inbox daily
Draft and send responses using approved templates for routine inquiries
Flag priority messages requiring Dr. Manning's personal attention
Manage follow-up sequences for warm leads and inquiry responses
Social Media Support
Format and schedule approved social media content across designated platforms using Canva and scheduling tools
Monitor engagement and compile a weekly social media activity summary
Assist with basic graphic resizing and template adaptation — Dr. Manning directs all content and creative
Weekly Curriculum and Program Support
Format and organize weekly session materials for the Occupational Breakup Academy group coaching program
Prepare weekly curriculum documents using AI-generated group session summaries provided by Dr. Manning
Maintain organized program files in Google Drive for easy client and facilitator access
Newsletter and
Format completed newsletter content and upload to Keap for distribution
Maintain
Deliver a monthly
Test automated Keap sequences after setup to confirm correct delivery of downloadable assets
Business Development and Prospect Research
Research speaking opportunities, professional conferences, and community events aligned with the brand
Identify and research prospective B2B clients — mid-size companies with recent workforce transitions
Maintain and update the prospect database in
Maintain a warm lead tracking log with follow-up reminders
TikTok and Content Scheduling
Schedule and post approved TikTok content following Dr. Manning's direction and brand guidelines
Research relevant hashtags and keywords for each platform
Track and report monthly performance metrics for TikTok and other social channels
Affiliate and Partnership Support
Track affiliate link performance monthly and compile a summary report
Assist with maintaining JV partner contact records and follow-up reminders
Required Skills and Experience
Minimum two years of experience as a virtual assistant or in an executive or administrative support role
Exceptional written English communication — grammar, tone, and professionalism are non-negotiable in this brand
Strong organizational skills with demonstrated ability to manage multiple priorities without dropping details
Experience with social media scheduling and content formatting — Canva proficiency is required
Comfort working with CRM and
Familiarity with Google Workspace (Gmail, Calendar, Drive, Docs) — this is our daily operating environment
Experience with
SEO familiarity and experience optimizing written content or video descriptions for search is a plus
Absolute discretion and sensitivity when working with confidential client information — our clients share deeply personal experiences

What We Are Not Looking For
We are not looking for someone who waits to be told what to do next. We need a self-directed professional who notices what needs attention, communicates proactively, and solves problems before they reach Dr. Manning's desk. If routine tasks and passive execution are your comfort zone, this role will not be the right fit.
We are also not looking for someone who treats this as a side role. This position requires consistent daily attention, reliable communication, and genuine investment in the mission of the business.
Required Application Step: Paid Trial Task
All finalists will be asked to complete a paid trial task before a final hiring decision is made. The trial task will involve:
Drafting three social media posts from a piece of content Dr. Manning provides
Scheduling a mock calendar week based on a scenario provided
Formatting one newsletter section in Canva using brand guidelines provided
This task will be compensated fairly. Applications that do not include willingness to complete a paid trial will not advance.
