JOB OVERVIEW

Overview

We are seeking an experienced Operations Systems Specialist for a 30-day intensive project to audit, stress-test, and optimize our entire operations workflow—from lead intake ? follow-up ? scheduling ? production ? invoicing ? warranty ? job closeout.

This is a results-driven gig role. Your mission is to dig into our systems, find every inefficiency, and fix them. You must be able to analyze AND implement—this is not a recommendation-only job.

We use a combination of JobNimbus, Zapier, Go High Level, RingCentral, Google Sheets, QuickBooks, CompanyCam, Roofr, and IME—so experience with these tools is a significant advantage.

Project Scope (30 Days)

In 30 days, you will complete a full systems audit and deliver a set of implemented improvements across our workflows, automations, integrations, and documentation.

Week 1: Discovery & Audit

Map current workflow from lead ? sold ? production ? invoicing ? warranty

Audit JobNimbus pipelines, automations & data flow

Review Zapier connections and identify failures or inefficiencies

Analyze GHL communication sequences and triggers

Identify bottlenecks in scheduling, invoicing, and customer communication

Week 2: Fixes & Rebuilds

Repair broken automations in Zapier + Go High Level

Restructure JobNimbus workflows and statuses

Improve lead flow, task creation, reminders, and handoffs

Validate and tighten invoicing cadence

Streamline warranty registration workflow

Week 3: Optimization

Optimize reporting dashboards in Google Sheets

Automate KPI tracking where possible

Create or refine system-wide SOPs

Improve data consistency and eliminate redundant steps

Validate integrations with QuickBooks, RingCentral, CompanyCam, Roofr, IME

Week 4: Testing & Final Report

Stress-test entire workflow end-to-end

Conduct QA on all automations and handoffs

Deliver final report outlining:

Before & after

Remaining opportunities

Updated SOPs

System diagrams

You’re a Strong Fit If You Have:
Required Skills

JobNimbus experience (pipeline management, automations, tasks)

Zapier (multi-step logic, troubleshooting, integrations)

Go High Level (workflows, triggers, messaging sequences)

Google Sheets (advanced) – formulas, dashboards, automations

QuickBooks Online (understanding invoicing + payment flow)

RingCentral (text/call workflows)

Strong analytical and process-improvement skills

Ability to both diagnose AND implement solutions

Bonus Skills

Experience in roofing/home service companies

CompanyCam, Roofr, IME familiarity

SOP creation or workflow diagramming

QA or systems tester background
