JOB OVERVIEW

About The Role
This is NOT a basic admin role.
We are a growing property business seeking a proactive, commercially aware Operations & Property Coordinator to build and run the operational backbone of the company.
You will be responsible for both managing rental operations and maintaining the full operational framework of the business.
If you prefer waiting for instructions or sending commentary instead of executing, this role is not for you.
This role requires initiative, ownership, structure, and commercial awareness.

Core Objective
Your primary responsibility is to:
• Protect occupancy
• Minimise vacancy days
• Maintain operational order and control
If a tenant gives notice, advertising must begin immediately (within 24 hours unless agreed otherwise).
Downtime directly impacts revenue — you must think commercially.

Property Operations Responsibilities
• Manage tenant enquiries and communications
• Coordinate viewings and scheduling
• Handle tenant move-ins and move-outs
• Enforce notice periods professionally
• Begin advertising immediately when notice is received
• Manage rental listing portals
• Track enquiry ? viewing ? conversion rates
• Coordinate contractor follow-ups

Operational Framework Responsibilities
You will take control of the business framework, including:
• Maintaining a clean, structured Google Drive
• Organising master folders and eliminating duplication
• Managing template libraries centrally
• Building and maintaining SOPs
• Maintaining a Master Systems & Access Register
• Ensuring documents are logically stored and easily retrievable
• Using a secure password manager
• Tracking recurring subscriptions and admin tasks
If I request a document, I expect it located immediately because you know exactly where it is.
There should never be scrambling, searching, or disorganisation.
Operational order is non-negotiable.

Communication Standard
I do not require play-by-play updates.
When updating me, use this structure:
• Situation
• Action taken
• Current status
• Decision required (if any)
You are expected to bring solutions, not problems.

Work Structure
• Approx. 2 hours per day
• Some weeks busy, some weeks lighter
• During quiet weeks, you are expected to proactively review systems, follow up outstanding items, clean structure, and suggest improvements
By Week 2, you should be operating independently in tenant and operational workflows.

Growth Opportunity
If you perform well, this role will expand as the business grows.
You will take on increasing responsibility and potentially oversee additional support staff in the future.

Compensation
$6–8 per hour depending on demonstrated capability.
30-day paid trial period.
