JOB OVERVIEW

We are a telemedicine and digital document processing company seeking a highly capable Operations Manager to lead a small Philippines based team, oversee daily workflows, and maintain a high level of accuracy and efficiency across all operations.

This role is ideal for someone who is organized, detail-oriented, proactive, and able to solve problems quickly. You will serve as the central point of operations, ensuring tasks are completed correctly, processes run smoothly, and improvements are constantly made as the business grows.

This is a long-term position with opportunities for expanded responsibility and performance-based bonuses.

RESPONSIBILITIES:

Operational Accuracy & Efficiency

Oversee daily document processing and ensure accurate, error-free submissions

Identify recurring issues and implement solutions to reduce mistakes

Improve workflow speed and eliminate unnecessary steps

Maintain organized, consistent processes across all states and services

Team Leadership

Manage and support Philippine-based VAs (customer service + fulfillment)

Conduct daily check-ins, assign tasks, and uphold strong performance standards

Build trust and respect within the team to keep operations running smoothly

Ensure accurate communication and handoffs between tea ---------- mbers

Workflow & System Management

Manage JotForm submissions and navigate form dashboards effectively

Use Zapier (and/or similar tools) to improve or fix automations

Work within Google Workspace/G-Suite: Drive, Docs, Sheets, Gmail

Handle PDF tasks using Adobe Acrobat and other softwares (editing, merging, formatting, signatures)

Reporting & Data

Prepare daily operational summaries

Prepare weekly reports for review with the founder

Pull basic data from Google Ads (spend, billing thresholds, daily costs)

Monitor advertising accounts to prevent budget disruptions

Problem-Solving & Improvements

Take initiative to resolve operational issues independently

Suggest improvements that increase accuracy and efficiency

Assist with new states, workflows, or process expansions

Contribute ideas that improve speed, accuracy, and backend operations

QUALIFICATIONS:

4+ years experience in operations, team leadership, or workflow management

Excellent English communication skills

Ability to lead a small team and maintain respect from staff

Strong Google Sheets skills (tracking, organization, reporting)

Confident with Google Workspace tools

Familiar with JotForm or similar digital form platforms

Experience with Zapier or automation tools

Proficient with Adobe Acrobat and PDF handling

Highly organized, efficient, detail-oriented, and proactive

Experience in telemedicine, admin processing, or e-commerce is a plus
