JOB OVERVIEW

We are seeking a strong, organized, assertive Operations Manager who can:

Take control of daily operations
Run morning meetings
Keep all tea ---------- mbers accountable
Ensure all tasks get completed on time
Oversee invoicing, billing, and customer follow-ups
Maintain project flow across multiple businesses
Serve as the communication hub and problem-solver
This is NOT a passive admin job.

Key ResponsibilitiesDaily Operations & Team Leadership

Lead the daily morning meeting
Assign tasks in Hubstaff
Monitor task completion throughout the day
Follow up with tea ---------- mbers to ensure smooth operations
Track communications and prevent dropped messages
Make sure billing, invoicing, and follow-ups happen promptly
Project & Workflow Management

Manage and organize all ongoing business projects across:
Website development
New business creation
Ensure deadlines are met and tasks are completed
Keep operations flowing across teams
Quality Control & Process Enforcement

Double-check invoices and order details for accuracy
Catch mistakes from admin or accounting staff
Identify bottlenecks and resolve them quickly
Improve systems and build structure where needed
Communication & Coordination

Be the central point between:
Admin team
Accounting team
Warehouse team
Tech/web team
Sales team
CEO
Ensure everyone knows their tasks for the day
Ensure projects move forward without delays

Required Skills

3+ years experience in operations, team management, executive assistance, or similar
Strong English communication skills
Experience running daily check-ins or managing teams
Good organizational and time-management skills
Tech-savvy (Slack, Hubstaff, Trello, Zoho, or similar systems)
Strong attention to detail and quality control
Ability to work U.S. daytime hours (9 AM – 6 PM EST)
