Why This Role Exists
We're growing fast, and we need someone who can hold the operational heart of the business together. Not someone who waits to be told what to do but someone who looks at a situation, understands what's happening, and figures out what needs to be done next. Someone who thinks.
This role is for a Project Executive who can own our day-to-day operations, support client campaigns, manage communication, and keep everything running smoothly, all without needing to be micromanaged every step of the way.
What You'll Be Doing
• Manage and track ongoing client campaigns across multiple financial advisor accounts
• Coordinate tasks between tea
• Handle client communication professionally, including tricky conversations, with warmth and clarity
• Maintain project boards in Notion or ClickUp, keeping workflows clean and up to date
• Manage calendars, shared inboxes, and key admin using Google Workspace
• Review deliverables and proactively flag issues before they become problems
• Help manage social media scheduling and content coordination
• Identify workflow gaps and suggest improvements, without being asked
You're the One If You...
• Can look at a situation and figure out what's wrong, even when no one tells you something is wrong
• Take ownership of your work and follow through without needing reminders
• Communicate clearly and make people feel heard, even under pressure
• Are meticulous, you notice the small things that others miss
• Have 1–2+ years in ops, project coordination, or a similar role
• Are comfortable with Google Workspace and tools like Notion or ClickUp
• Thrive in a lean, remote team where you're trusted to figure things out
Bonus Points If You...
• Have worked in a digital marketing agency or financial services environment
• Have experience with automation tools like
• Are curious about AI and how it's reshaping how businesses operate
• Have managed WhatsApp-based client communication or CRM workflows before
