Full-Time | Remote | Long-Term Position

We are a growing training and compliance company based in Virginia seeking a highly organized Virtual Assistant to help manage daily operations, customer communication, scheduling, and administrative tasks.

This is a long-term position with opportunities to grow as the company expands.

About Us

We provide CPR, First Aid, AED, and Medication Administration training throughout Virginia. We also operate compliance and safety programs serving healthcare facilities, schools, and businesses.

We believe training saves lives. Every CPR class taught, AED placed, and certification processed helps prepare someone to respond in an emergency. While this is an administrative role, the work directly supports programs that improve safety and emergency preparedness throughout our communities. We are looking for someone who takes pride in helping others and wants to be part of a mission that can make a real difference.

We are looking for someone reliable, detail-oriented, and able to take ownership of tasks with minimal supervision.

Responsibilities:
Customer Service & Email Management
Respond to customer emails
Answer questions about training courses
Send registration links and course information
Follow up with customers regarding scheduling and invoices
Maintain professional communication with clients
Training Administration
Process class rosters
Generate and distribute certification cards
Track course completions
Maintain student records
Verify attendance and training documentation
Scheduling & Coordination
Schedule training classes
Coordinate instructor availability
Confirm appointments with clients
Manage calendar updates and reminders
Billing & Financial Support
Generate invoices in QuickBooks
Send payment reminders
Track outstanding balances
Assist with recurring customer billing
CRM & Data Management
Maintain customer records
Update contact information
Track leads and customer interactions
Organize business information and documentation
Business Development Support
Research potential customers
Build contact lists
Assist with email campaigns
Update marketing and sales databases
Support outreach efforts for new business opportunities
Required Skills

Compensation:
Full-time position (40 hours per week)
Competitive hourly pay based on experience and performance, between $750-$1,200/month
