Compensation: $600-$700/month (Based on experience)

About Us

We are a fast-growing home service company specializing in fireplaces, chimneys, air duct services, and related residential services across Florida. We are looking for a highly organized and detail-oriented Operations Coordinator to help manage daily operations, customer communications, and job tracking.

Responsibilities

* Manage and monitor company WhatsApp groups daily
* Respond to incoming customer inquiries professionally and promptly
* Follow up with customers regarding appointments, estimates, and completed work
* Track all open and closed jobs throughout the day
* Maintain accurate records in Workiz CRM
* Enter and update customer information, invoices, and job details
* Keep Excel spreadsheets updated with daily activity and job status
* Verify technician job closings and ensure all information is properly documented
* Create daily reports showing:
* New jobs booked
* Completed jobs
* Open jobs
* Closed sales
* Pending estimates
* Coordinate communication between office staff, technicians, and management
* Ensure all customer interactions and job updates are properly logged

Requirements

* Excellent written and spoken English
* Strong customer service skills
* Previous experience with CRM systems (Workiz experience is a major advantage)
* Strong Excel and Google Sheets skills
* High attention to detail
* Ability to multitask and manage multiple conversations simultaneously
* Reliable internet connection and computer
* Ability to work independently with minimal supervision
* Strong organizational and reporting skills

Preferred Qualifications

* Experience working for home service companies
* Experience in dispatching, scheduling, or office administration
* Experience managing WhatsApp communications and customer support
* Knowledge of data entry and reporting procedures

Performance Expectations

* Maintain accurate daily records of all jobs and customer interactions
* Ensure no open jobs are left untracked
* Provide clear daily and weekly operational reports
* Maintain professional communication with customers at all times
* Help improve operational efficiency and accountability throughout the company
