KeepUpMedia is a North American marketing agency for premium medical clinics. We move fast, run lean, and live in Slack, WhatsApp, and Asana. I'm hiring an Operations Coordinator to be the person who makes sure nothing we say we'll do ever slips through the cracks.
This is a remote, fully text-based role. Most days are about 1 hour of work; the busiest days cap at 3. The only call involved is a weekly check-in with me. If you're sharp, reliable, and obsessed with getting things across the finish line, this is a long-term growth seat — you start hourly and earn more scope and pay as you prove yourself.
WHAT YOU'LL DO
- Live inside our Slack channels and WhatsApp group chats and catch every task, request, or commitment the moment it comes up.
- Log each task in Asana and assign it to the right owner across our team boards.
- Confirm the task with the owner, then drive it to completion ON TIME. Following up, nudging, and escalating to me when something is stuck is the core of this job — not just logging tasks.
- Take tasks directly from me and run them through the same pipeline.
- Turn meeting transcripts (auto-generated via Fathom) into clear action items using Claude, then assign and track them.
- Own new-hire onboarding: when we bring on a new editor or team member, make sure they receive every SOP, then check in regularly so they always have what they need to move work forward.
- Send me one short weekly summary: what came in, where it went, and what's at risk.
YOU MUST HAVE
- Exceptional English — near-native, neutral accent. You'll communicate with North American teammates every day, in writing and on calls. If your spoken English has a noticeable accent, this is not the right role for you. This is non-negotiable.
- Deep, daily AI fluency. You already use Claude heavily — if you don't, please don't apply. Experience with Claude MCP connections is the single most important skill for this role; mention it specifically.
- Hands-on experience with Asana (essential), plus Slack and WhatsApp. ClickUp and Monday.com experience is a strong plus.
- A real track record of being organized, proactive, and relentless about deadlines.
- Genuine hunger to grow with a company long-term.
BONUS POINTS
- Agency or marketing-team experience.
- Comfort building or running simple automations (Zapier, webhooks).
- You've owned a task or project pipeline before and can point to proof.
THE SETUP
- Part-time, roughly 10–15 hours/week, remote, fully async except one weekly check-in with me.
- $5/hour to start, with bonuses & clear room to grow in "pay" and "responsibility."
