About Above Second

Above Second is a contemporary art advisory and project-based platform connecting artists with collectors, interior designers, developers, hospitality groups, and brands.

We are building a lean, modern business and are looking for someone who can help create and manage the systems behind it.
This is not a traditional virtual assistant position.

We are looking for someone who enjoys building processes, organizing information, managing databases, and creating operational structure. The ideal candidate takes ownership, solves problems independently, and enjoys bringing order to growing businesses.

Primary Objective
Create and maintain the operational infrastructure of Above Second so the founder can focus on artists, collectors, sales, partnerships, and business development.

Key Responsibilities
CRM & Database Management
• Build and maintain the company CRM
• Organize contacts by category, location, and opportunity
• Import and manage artist, collector, designer, developer, and hospitality contacts
• Maintain clean and accurate records
• Track communications, follow-ups, and opportunities

Business Development Research
• Research and qualify interior designers, architects, developers, hospitality groups, and private collectors
• Build targeted prospect databases
• Identify potential partnership opportunities
• Maintain lead pipelines and reporting

Systems & Operations
• Create and improve workflows
• Organize digital assets and project folders
• Build SOPs (Standard Operating Procedures)
• Recommend tools and automation opportunities
• Help streamline company operations as the business grows

Ideal Candidate
• Strong research and organizational skills
• Advanced Google Sheets or Airtable experience
• Experience with CRM systems
• Excellent written English
• Highly proactive and self-directed
• Comfortable building systems from scratch
• Strong attention to detail
• Able to work with minimal supervision

Bonus Experience
• Art, design, architecture, luxury real estate, hospitality, or creative industries
• HubSpot, Airtable, Notion, Artlogic, Monday.com, ClickUp, or similar platforms
• Process improvement and operations management

Success in This Role
Within the first 60 days, the successful candidate will:
• Build and organize the Above Second CRM
• Create structured databases for artists and prospects
• Implement file organization systems
• Establish repeatable onboarding workflows
• Maintain accurate business development pipelines
