About Taft Systems

Taft Systems is a US-based HighLevel fulfillment company supporting marketing agencies. Our operations team runs the internal engine — keeping tasks moving, making sure the team hits deadlines, and ensuring nothing falls through the cracks. We're growing fast and we need someone to help our Head of Operations keep everything on track.

What You'll Do

This is an internal-facing role. You will not be communicating directly with clients. You will be working directly under our Head of Operations, shadowing her first, then taking on execution tasks she hands off. Your job is to make sure the internal team is staying on track — checking in on open tasks, following up on time submissions, helping with proposals, and flagging anything that's slipping. Check in with tea ---------- mbers on open tasks and flag anything overdue to the Head of Operations
Follow up on time report submissions and other recurring internal deadlines
Support proposal preparation and internal document coordination
Monitor internal scheduling and ensure emails and content are queued as planned
Handle internal coordination tasks as delegated by the Head of Operations


What We're Looking For


Highly organized with strong attention to detail
Strong written English — you will be communicating with the internal team regularly
Comfortable in project management tools (we use ---------- )
Self-directed — you need to be able to check on things without being reminded to check on things
Experience in operations, administrative support, or executive assistance preferred
Reliable internet connection required


Hours

Full-time. 9:00 AM – 5:00 PM ET. All tea ---------- mbers are required to attend a daily Zoo ---------- eting with camera on. This is a condition of employment.
