Primary ResponsibilitiesAdministrative & Operational Support
Assist the Operations Manager with day-to-day operational tasks and projects.
Maintain and update company procedures, policies, and internal documentation.
Track and follow up on assigned action items fro
Assist with preparing reports, spreadsheets, presentations, and operational summaries.
Monitor company dashboards and help identify outstanding items requiring follow-up.
Team Support & Coordination
Assist department managers with special projects and operational initiatives.
Coordinate communication between departments when needed.
Help schedule meetings, training sessions, and company events.
Maintain accountability trackers and project deadlines.
Owner & Client Support
Assist with owner communications and follow-up requests.
Help prepare owner reports and supporting documentation.
Coordinate information requests from clients, investors, and prospective management clients.
Assist with onboarding and offboarding property owners.
Vendor & Maintenance Coordination
Assist with vendor communication and follow-up.
Help track maintenance projects and ensure deadlines are met.
Coordinate collection of bids, invoices, and project documentation.
Maintain vendor records and compliance documentation.
Compliance & Documentation
Assist with maintaining company forms, templates, and operational procedures.
Ensure files, records, and documentation are organized and complete.
Assist with auditing processes and quality control reviews.
Help maintain compliance-related records and tracking systems.
Business Development & Marketing Support
Assist with lead tracking and follow-up.
Support marketing initiatives and company growth projects.
Help prepare proposals, presentations, and onboarding materials.
Assist with community outreach and referral partner communication.
Technology & Process Improvement
Assist with implementation of new software, systems, and workflows.
Help identify operational inefficiencies and opportunities for improvement.
Maintain internal tracking systems and project management tools.
Support AI, automation, and technology initiatives.
Qualifications
Strong organizational and time management skills.
Excellent written and verbal communication.
Ability to manage multiple priorities simultaneously.
Strong attention to detail.
Proficiency with Microsoft Office and Google Workspace.
Experience with property management software is preferred but not required.
Ability to work independently and take initiative.
Professional, positive, and solutions-oriented mindset.
Requirements
Proficiency in typing with a speed of at least 40 WPM.
Strong technical aptitude and intermediate computer literacy.
Ability to maintain a dedicated and quiet remote workspace.
Minimum of one year of experience within the industry or a related field.
Full professional fluency in English (verbal and written).
Reliable high-speed internet access (40Mb/s minimum).
Modern computer setup (desktop with a large display is preferred).
Functional webcam for participating in Zoom conferences.
Professional headset for clear phone and video communication.
Real estate background and/or property management experience is a huge plus.
Proficiency in English with little to no accent is a must.
