We are a growing family medicine clinic in the United States seeking a reliable, detail-oriented Virtual Medical Assistant to join our team full-time.

???? Role Overview
You will support daily clinic operations by:
Managing patient charts, lab results, and clinical documentation?
Handling prior authorizations and insurance coordination?
Processing medical equipment orders?
Managing and organizing patient documents?
Supporting HEDIS quality measures and reimbursement initiatives?

Full-Time: 40 hours/week?
Monday–Friday?
8:00 AM – 5:00 PM Central Time (USA) (Night shift PH)?

? Key Responsibilities
1. Medical Chart, Lab & Documentation Management
Upload and organize lab results into Tebra (EHR)?
Update patient medical histories with accurate information?
Prepare patient charts before appointments?
Maintain completeness and accuracy of all records?
2. Document Management & Coordination (NEW – Highlighted Role)
Collect, organize, and upload patient documents (IDs, insurance cards, referrals, forms)?
Ensure all documents are correctly labeled and filed in patient charts?
Track missing documents and proactively follow up with patients?
Manage intake forms, consent forms, and clinical questionnaires?
Maintain clean, structured, and audit-ready documentation systems?
Ensure all records meet HIPAA compliance standards?
3. Prior Authorizations
Process medication and test authorizations?
Communicate with insurance companies?
Submit clinical documentation?
Track approvals, denials, and follow-ups?
4. DME (Medical Equipment) Coordination
Fax orders to vendors?
Track delivery status?
Follow up on authorizations?
Keep providers updated?
5. HEDIS & Billing Support
Track care gaps (screenings, chronic care)?
Support completion of quality measures?
Assist with documentation tied to insurance incentives and reimbursements?
6. Patient Preparation & Admin Support
Contact patients for missing information?
Verify insurance coverage?
Ensure all documentation is complete before visits?

Experience
2+ years in:?
Medical Virtual Assistant OR?
Healthcare admin / clinic support?
Skills & Knowledge
EHR experience (Tebra/Kareo preferred)?
Strong understanding of:?

Prior authorization experience (required)?
Strong document organization skills (VERY important)?
