Overview:

I’m looking for a highly organized Virtual Assistant to help manage day-to-day operations, maintenance, and construction coordination for several rental properties. The ideal candidate has a strong background in property management or bookkeeping, combined with hands-on experience working directly with general contractors and tradespeople. You will be the central hub keeping finances, utilities, vendor relationships, project bids, and documents organized with minimal supervision.

Responsibilities:

*Contractor & Maintenance Coordination: Act as the primary liaison with general contractors, subcontractors, and handymen to request bids, schedule repairs, and track timelines for routine maintenance, unit turnovers, and renovation projects.

*Expense & Project Tracking: Track and categorize expenses per property, accurately separating routine maintenance costs from capital expenditure (CapEx) construction projects.

*Document Management: Organize receipts, contractor invoices, lien waivers, and financial documents for taxes and refinancing. Collect and file contractor compliance documents (W-9s, COIs/insurance certificates, contracts).

*Financial Operations: Pay utility bills, keep property accounts current, and maintain simple monthly P&Ls and project budget trackers in Google Sheets.

*Reporting: Provide weekly summaries of cash flow, upcoming bills, construction/renovation progress, and immediate maintenance priorities.

Requirements:

*Experience in property management, bookkeeping, or construction administration.

*Proven experience working with and coordinating contractors, vendors, and maintenance teams.

*Familiarity with basic construction, renovation, and maintenance terminology.

*Strong English communication skills (written and spoken) to effectively negotiate and follow up with vendors.

*Highly organized, detail-oriented, and capable of managing multiple projects at once.

*Proficient with Google Sheets and QuickBooks.
