Lending Operations Coordinator (Virtual Assistant)

Monday–Friday, 9:00 AM – 5:00 PM EST
Compensation: $800/month

Alpha Capital is a rapidly growing, vertically integrated real estate investment firm based in Connecticut. We operate across acquisitions, lending, brokerage, and property management, with a focus on scaling to 10,000+ units and building a best-in-class real estate platform.
Our lending division is expanding quickly, and we are looking for a highly organized, detail-oriented Lending Operations Coordinator to support our team and bring structure, accuracy, and accountability to our pipeline.
This is not just a task-based VA role — this is a critical operations position with real responsibility and room to grow.
Why This Role Exists
As our lending volume grows, our team needs to stay focused on originating and closing deals — not getting slowed down by administrative work.
This role exists to:
Keep the pipeline accurate and up to date
Ensure deals are moving forward efficiently
Track performance and key metrics
Handle day-to-day operational coordination
You will be the operational backbone of the lending team.
Key Responsibilities
1. Pipeline & CRM Management
Maintain and update all deals in CRM (Salesforce/HubSpot)
Ensure every deal is in the correct stage with accurate data
Monitor pipeline movement and follow up on stalled deals
Keep pipeline clean, organized, and updated daily
2. Commission Tracking & Invoicing
Track all funded deals and calculate commissions
Prepare and send commission reports
Coordinate payouts with internal accounting team
Maintain organized commission and payment records
3. KPI Tracking & Reporting
Track weekly and monthly metrics, including:
Applications submitted
Deals in pipeline
Funded volume
Conversion rates
Prepare and send weekly performance reports to leadership
4. Document & File Coordination
Collect required documents from borrowers
Organize and maintain deal files
Ensure files are complete before processing/underwriting
Send document checklists and follow-ups
5. Follow-Up & Deal Coordination
Follow up with borrowers for missing items
Coordinate with lenders on deal status
Track timelines and ensure deals are progressing
Proactively identify and prevent delays
6. Administrative Support
Assist with scheduling calls and meetings
Support tea
Help maintain organization across all active deals
What We’re Looking For
Required:
Strong organizational and time management skills
High attention to detail
Comfortable working with spreadsheets and CRM systems
Strong written and verbal English communication
Ability to follow up consistently and professionally
Reliable internet and ability to work EST hours
Preferred (Not Required):
Experience in real estate, lending, or mortgage operations
Experience with CRMs (Salesforce, HubSpot, etc.)
Experience with Excel or Google Sheets
Experience supporting a sales or operations team
