We use organized workflows, CRM systems, automation tools, and modern platforms—including AI tools like ChatGPT—to operate efficiently and maintain a positive client experience.

We are currently looking for a reliable and professional Virtual Assistant to support lead management, conversations, follow-ups, and appointment-setting activities.

This is a direct hire, long-term remote opportunity with room for growth as the business continues to expand.

About the Role

This role involves helping manage conversations, lead follow-ups, appointment-setting activities, and CRM organization in a structured and professional environment.

You’ll primarily be supporting:

• Instagram and Facebook conversations
• Lead follow-ups
• Appointment setting
• CRM updates and organization
• Inbound and outbound lead conversations
• Structured workflows and SOPs
• Systems designed to help generate more booked calls

Consistency, communication quality, organization, and responsiveness are important, as the role supports ongoing lead generation and client communication systems.

We’re looking for someone who communicates naturally, stays organized, and is comfortable handling conversations professionally on a daily basis.

Responsibilities

Responsibilities may include:

• Managing Instagram and Facebook conversations
• Following up with leads and warm prospects
• Supporting appointment-setting workflows
• Updating CRM records and pipeline stages
• Organizing lead information and notes
• Assisting with social media engagement and outreach
• Using AI tools (ChatGPT or similar) to improve workflow efficiency
• Following structured SOPs and operational systems
• Supporting inbound and outbound lead generation activities

Clear SOPs, workflows, and systems will be provided.

Requirements

Required

• Strong written English communication skills
• Comfortable handling conversations daily
• Organized, reliable, and detail-oriented
• Comfortable using AI tools (ChatGPT or similar)
• Able to follow systems and SOPs
• Stable internet connection and personal equipment
• Comfortable learning CRM systems and workflows

Preferred

• Previous VA, appointment setting, or lead generation experience
• Experience working with online coaches or service-based businesses
• Familiarity with GoHighLevel, ManyChat, Slack, Notion, or CRM platforms
• Interest in fitness, health, coaching, or online business
• Experience handling social media conversations or customer communication
