Internal Operations Coordinator
Ensure all backend systems and workflows are functioning properly for both client-facing launches and internal team operations.
Overview
The Internal Operations Coordinator (Contractor) will provide backend systems and workflow support to ensure smooth client-facing launches and internal team operations. This role requires an individual with extensive Kajabi experience who can confidently manage automations, troubleshoot workflows, and maintain operational consistency across platforms. The ideal candidate is detail-oriented, proactive, and highly skilled in managing digital systems with minimal oversight.

Key Responsibilities
Build, test, and manage Kajabi automations (emails, text reminders, tagging, course access links).
Oversee backend automation setup and system execution across platforms.
Own and execute QA processes and checklists during program launches.
Maintain operational consistency, ensuring systems run smoothly without intervention.
Track internal project tasks, deadlines, and progress using Asana or similar tools.
Provide light analytics reporting (email open rates, member usage, attendance, etc.).
Collaborate with internal team members to ensure backend systems support external-facing roles.
Core Deliverables
Fully functional Kajabi automations, tested and live before launch.
Accurate QA checklists completed prior to go-live.
Monthly reporting on platform data and performance metrics.
Clear, proactive communication of progress, blockers, and opportunities for improvement.


Key Qualifications
Extensive experience with Kajabi, including automations, tagging, email sequences, course/product setup, and troubleshooting
Strong project management skills with a proven ability to meet deadlines
Proficiency with task management tools (Asana, ClickUp, or similar)
Demonstrated ability to test workflows from a user perspective and ensure seamless client journeys
Competence in pulling and interpreting basic analytics
Excellent written and verbal communication skills
Self-starter with a high degree of accountability, independence, and problem-solving ability
Previous experience in a remote, contractor-based role preferred

Contractor Terms
This is a 1099 independent contractor role; the contractor is responsible for their own taxes, insurance, and equipment
Hours and workload will vary based on project needs
Services must be provided in alignment with agreed timelines and deliverables
Compensation
Compensation: Flat monthly retainer of $600 (based on experience and depth of Kajabi expertise)
Contractor will invoice monthly; payment will be remitted within 14 days of invoice receipt
Estimated workload: 20 hours per week, with flexibility based on project timelines and launch cycles
