Home Health Virtual Assistant – Progress Notes, HH Orders & Weekend Intake

Making Memories Home Health is looking for a reliable and experienced Virtual Assistant with a background in home health to join our team. This is a 7-days-a-week position requiring fluent English. On weekdays, the primary focus is checking and following up on pending progress notes and home health (HH) orders. On weekends, you will be on call to handle intake in referral systems.

Responsibilities:
- On weekdays: check and follow up on pending progress notes and HH orders to ensure timely completion and compliance
- Make outbound calls to doctor's offices, clinics, and physician groups to request physician orders (485s, verbal orders, medication orders, etc.)
- Follow up on pending orders to ensure timely completion and compliance
- Track and document the status of all outstanding physician orders in our system
- Coordinate with the clinical team to ensure all required documentation is obtained
- Communicate professionally and clearly with medical office staff and physicians
- Maintain accurate records in our EMR/EHR system
- Ensure all activities are HIPAA-compliant
- On weekends: be on call and able to handle intake in referral systems such as Aidin, Careport, Forcura, etc.

Requirements:
- Fluent English (verbal and written) — required
- Experience in home health, hospice, or a related healthcare setting
- Familiarity with physician orders, 485 forms, and home health workflows
- Familiarity with progress notes and HH order processes
- Excellent English communication skills (verbal and written)
- Strong phone etiquette and professional communication
- Ability to follow up persistently and professionally
- Knowledge of HIPAA regulations
- Reliable internet connection and quiet work environment
- Experience with EMR/EHR systems is a plus
- Experience with referral intake systems (Aidin, Careport, Forcura, etc.) preferred

This is a full-time, remote position available 7 days a week. We are looking for someone who is detail-oriented, proactive, and passionate about supporting quality patient care.
