I run a rapidly growing coaching company and am hiring a Marketing Systems Specialist to own the backend of our client acquisition and operational infrastructure.

This is NOT a beginner VA role.

You must already be highly competent in GoHighLevel and comfortable operating inside a fast-moving online business.

Advanced GoHighLevel Expertise (Mission Critical)

You must be able to operate independently inside GoHighLevel from day one.

Responsibilities include:

• Building funnels and landing pages
• Creating workflows, triggers, tags, and pipelines
• Troubleshooting without hand-holding
• Optimizing existing systems
• Managing CRM structure

You will not be trained on GoHighLevel — we are hiring you for your expertise.

Proactive Communication

Operational silence creates business risk.

You must:

• Communicate progress consistently
• Flag blockers early
• Meet deadlines
• Be responsive during working hours
• Provide weekly task updates

If you tend to disappear, delay responses, or wait to be asked for updates — this role is not a fit.

Strong English Fluency

You will support internal systems and occasionally client-facing communication.

You must be able to:

• Understand nuanced instructions
• Communicate clearly and professionally
• Avoid repeated clarification loops

Zapier + ManyChat Experience

You should feel confident building and managing automations across platforms.

Examples:

• Creating Zapier workflows
• Managing integrations (Zoom, Vimeo, Skool, etc.)
• Supporting lead flow automation
• Identifying opportunities to streamline processes

Core Responsibilities

Tech & Automations

• Manage CRM inside GoHighLevel
• Build and maintain workflows
• Troubleshoot tech issues
• Maintain integrations
• Improve operational efficiency

Operations Support

• Upload coaching call replays
• Load course content into Skool
• Update client records and tags
• Send contracts and automated agreements
• Support onboarding workflows
• Alert tea ---------- mbers when action is required

Community + Client Experience

• Respond to basic community questions
• Maintain FAQ templates
• Escalate important client messages
• Support a high-level client experience

Ownership

• Keep SOPs updated
• Identify inefficiencies
• Recommend automation opportunities
• Bring solutions — not just problems
