JOB OVERVIEW

Texas Apartment Finds is a fast-growing apartment locating company serving Austin, Houston, Dallas, and San Antonio. We help renters find and secure apartments quickly through curated lists, tour scheduling, and conversion-focused follow-up systems. We’re building a real, scalable operation, not a messy “VA-run” business.

This role is for someone who loves structure, clean systems, and measurable results.

We’re hiring a highly organized GHL Admin who can operate as a strategist partner and systems builder. You will own three core areas:

GoHighLevel backend administration (pipelines, tags, automations, calendars, forms)
Texas Apartment Finds website completion + ongoing optimization (built in GHL)
Data + reporting (team dashboard, lead source tracking, conversion metrics)

This is not just a “task doer” role. We want someone who sees the system, improves it, and makes it easier for the team to close leases.
Key Responsibilities
A) GoHighLevel Admin (Core)
Maintain and improve pipelines, stages, tags, and automations
Ensure proper lead routing and correct lead source tracking
Build and maintain workflows (follow-up logic, tagging rules, task rules)
Create and enforce “no lead left behind” rules through systems and reporting
Keep contact records clean: correct fields, tags, notes, and stage accuracy
B) Website (GHL Site Builder)
Complete and optimize the Texas Apartment Finds website
Implement clean navigation, strong CTA flow, and form routing
Ensure website leads flow into the correct pipeline with proper tags/source fields
Improve trust signals (process, FAQ, “free service” explanation, credibility cues)
Maintain basic compliance pages (privacy policy, etc.)
C) Reporting + Analytics
Build and maintain the Team Dashboard inside GHL
Track: lead volume, lead sources, tours requested/booked, apps submitted, approvals (as available), pacing vs weekly targets
Spot bottlenecks and recommend system fixes
Ensure the team scoreboard + dashboard data matches (no broken tracking)
D) Systems Operator + Mindset (Strategist Partner)
Proactively identify what’s messy and fix it
Write short SOPs or training notes when changes are made
Improve execution quality by simplifying processes
Communicate clearly with leadership and the team
What Success Looks Like (30 Days)
Website is complete and live, with clear CTA + form routing
GHL pipelines/tags are clean and consistent across the team
Team dashboard is accurate and shows weekly pacing at a glance
Lead sources are tracked properly (FB/IG/TikTok/CL/Website)
Reduced dropped leads + improved follow-up discipline through automation + reporting
Requirements (Must-Have)
Strong hands-on experience with GoHighLevel (not just “familiar”)
Can build/modify workflows, pipelines, forms, calendars, triggers
Comfortable building web pages inside GHL
Strong organizational skills and attention to detail
Can think like an operator: systems, structure, accountability
Strong written English (clear and professional)
Nice-to-Have
Experience with real estate CRMs, appointment-setting systems, or lead gen operations
Understanding of funnels/landing pages and conversion basics
Ability to create simple dashboards/spreadsheets if needed
Experience documenting SOPs and training materials

You give clear updates and progress summaries
You follow instructions, but you also improve the system intelligently
You’re comfortable in a fast-moving startup environment with high standards
Schedule + Pay
Part-time or full-time depending on fit
Pay based on experience (we are willing to pay for true skill and reliability)
