Hi! We are a fast-growing Dutch premium ecommerce brand selling scented products online. We are scaling quickly and need someone who can help us stay on top of our inventory, so we never run out of stock.
What this job is:
- We are looking for a freelance inventory planner who can build a forecasting system and give us weekly advice on our stock levels.
- This is not a supply chain management role. You will not contact suppliers. You will not place orders. We handle all of that ourselves.
Your job is simple:
- Receive data from us (Shopify exports, current stock levels, lead time updates)
- Build a model that calculates when we need to reorder each product
- Tell us what to order, how much, and when, before we run out
Phase 1 — Build the system (first 2–4 weeks, approximately 8–10 hours per week)
- Aalyse our currect system
- Map all our products and current stock levels
- Analyze sales velocity per SKU
- Build a reorder model in Excel or Google Sheets (or something like that) that calculates reorder points, safety stock, and projected stock-out dates
- Account for variable supplier lead times, we will always tell you when lead times change
- Deliver a clean, easy-to-read dashboard that shows us what action to take each week
- Document everything so we always understand the model
Phase 2 — Ongoing management (after setup, approximately 2–4 hours per week)**
- Update the forecast 1–2 times per week based on our latest sales data
- Send us a short weekly update: what needs to be ordered, what is at risk, what is fine
- Adjust forecasts when we inform you about upcoming sales, promotions, or lead time changes
- Keep the model accurate and up to date
Important: We always inform you about any changes that affect inventory: new sales campaigns, changed lead times, new products. You take that input and update the forecast accordingly.
What we are looking for
- Experience in inventory planning or demand forecasting for an ecommerce or product-based business
- Strong Excel or Google Sheets skills — you must be comfortable building formulas, reorder models, and dashboards
- Experience working with Shopify data (sales reports, inventory exports)
- Clear and structured communicator — your weekly update must be simple and direct, not a complex report
- Reliable and proactive — you flag risks before they become problems
AI and automation bonus
We actively reward smart use of AI tools. If you can automate parts of the forecasting process — for example using AI to process Shopify exports, generate forecast updates, or flag reorder
Tools we currently use
- Excel with manual Shopify exports
- You may propose a better system if you have experience with tools like Inventory Planner, Stocky, or similar, but Excel or Google Sheets is fine
Practical details
- Freelance, part-time, fully remote
- Phase 1: approximately 8–10 hours per week for 2–4 weeks
- Phase 2: approximately 2–4 hours per week, ongoing
- Pay: will be discussed based of the workload
- Pay is bi-weekly or monthly
